As a Project Specialist, you will provide administrative support to ensure the smooth and efficient execution of a wind energy repower project. You will be responsible for managing project documentation, coordinating logistics, and assisting the site execution team in various administrative tasks. This role requires strong organizational skills, attention to detail, and the ability to thrive in a dynamic work environment.

  • Provide critical administrative support by organizing project documentation such as contracts, permits, drawings, and correspondence?
  • Ensure all project-related documents are accurately labeled, filed, and archived for easy access and compliance?
  • Enter, track, and validate project data across multiple systems to support accurate reporting and accountability?
  • Serve as a vital link between field teams, project managers, and stakeholders to quickly resolve logistical and administrative challenges?
  • Support technicians and subcontractors with timesheets, service orders, and proper tracking of prevailing wage and apprenticeship hours?

Are You Ready to:
  • Creating, tracking, and auditing work orders, time entries, and documentation in the ERP system for accurate invoicing and reporting.
  • Assisting in the preparation and distribution of project reports, meeting minutes, and other communications.
  • Collecting and validating completion documentation from field teams, subcontractors, and suppliers-including work packs, photos, and sign-offs.
  • Generating regular reports on project status, progress, and KPIs for leadership review.
  • Coordinating procurement and logistics-including tracking deliveries of components, PPE, and tools to and from project sites.
  • Managing accommodations and transportation for field personnel and visitors.
  • Maintaining organized project records, including deployment schedules, trackers, and site-specific documentation, while meeting retention policies.
  • Verifying subcontractor timesheets and certified payroll for prevailing wage and apprenticeship compliance.
  • Monitoring technician certification and safety training compliance, coordinating with internal EHS and training teams to schedule renewals and maintain accurate personnel files.
  • Performing a variety of other administrative and coordination duties that keep the project team running efficiently.

What You'll Need:
  • Associate or Bachelor's degree preferred, or equivalent experience in project coordination, field operations, or construction administration.
  • Valid Driver's License
  • 2+ years of experience in renewable energy, construction, or field service coordination.
  • Familiarity with ERP systems, preferably IFS, and ability to quickly learn new digital platforms.
  • Strong organizational skills and attention to detail, with the ability to manage multiple tasks and priorities effectively.
  • Ability to work independently with minimal supervision and collaborate effectively as part of a team.
  • Excellent verbal and written communication skills, especially in working with field staff and cross-functional teams.
  • Proficiency in Microsoft Office suite (Word, Excel, PowerPoint, Outlook) and other office software applications.
  • Willingness to travel to projects as needed to support business needs. (Up to 25%)
