Position Overview

Your Behavioral Health is seeking a highly organized, patient-focused Admissions Coordinator to support our intake and admissions operations across mental health and substance use programs. This role is critical to ensuring timely, efficient, and high-quality client intakefrom initial inquiry through admissionwhile supporting census growth and conversion goals at our sister company Clear Behavioral Health.

The Admissions Coordinator will work closely with clinical teams, and leadership to manage inbound leads, coordinate assessments, and ensure seamless client onboarding.

Key Responsibilities

Intake & Lead Management

  • Serve as a primary point of contact for inbound inquiries (phone, web, referral sources)
  • Respond promptly to new leads and ensure timely follow-up
  • Collect and document patient information accurately in CRM systems (Salesforce or equivalent)
  • Triage inquiries to determine appropriate level of care and program fit

Admissions Coordination

  • Schedule and coordinate clinical assessments with providers
  • Ensure all required documentation is completed prior to admission
  • Verify insurance benefits and communicate financial responsibilities
  • Coordinate admission logistics across residential, PHP/IOP, and outpatient programs

Conversion & Performance Support

  • Track leads through the admissions funnel and support conversion efforts
  • Maintain consistent follow-up cadence with prospective patients and referral sources
  • Assist in managing open leads, ensuring no missed opportunities
  • Support team goals related to admissions volume, conversion rates, and response times

Cross-Functional Collaboration

  • Partner with clinical, outreach, and operations teams to ensure appropriate placement
  • Communicate effectively with Program Directors and care teams regarding incoming admissions
  • Participate in daily or weekly pipeline reviews and admissions meetings

Process & Quality Improvement

  • Support adherence to admissions workflows and documentation standards
  • Identify opportunities to improve intake efficiency and patient experience
  • Assist with call quality, documentation accuracy, and operational consistency

Qualifications

Required

  • Strong communication and interpersonal skills, especially in high-empathy environments
  • Ability to manage multiple priorities in a fast-paced, metrics-driven setting
  • High attention to detail and organizational skills

Preferred

  • Experience in behavioral health, substance use treatment, or healthcare admissions
  • Understanding of insurance verification and benefits
  • Familiarity with different levels of care (Detox, Residential, PHP, IOP, OP)
  • 13 years of experience in admissions, intake coordination, healthcare operations, or related field
  • Experience working with CRM systems (Salesforce strongly preferred)
