Job description

We’re looking for a reliable, detail-oriented Office Administrator to help keep daily operations running smoothly. This role supports management, handles client communication, organizes scheduling, and assists with billing and project documentation. The ideal candidate is organized, proactive, and comfortable wearing multiple hats in a fast-moving environment.

Requirements:

  • 2+ years experience in construction, electrical, or service-based business
  • Experience with estimating/invoicing software (Joist, QuickBooks, or similar)
  • Strong written and verbal communication skills
  • Ability to manage multiple projects and deadlines
  • Highly organized and detail-oriented
  • Experience working with high-end residential or design clients preferred

Responsibilities:

  • Prepare and send estimates and invoices
  • Follow up on outstanding payments
  • Coordinate scheduling with field technicians
  • Communicate with clients, designers, and contractors
  • Assist with material ordering and job tracking
  • Maintain organized records of jobs and client communications
  • Answer phones, emails, and messages; provide excellent customer service.
  • Schedule service calls, installations, and job site visits.
  • Create, update, and track estimates, invoices, and work orders.
  • Maintain organized digital and physical files (contracts, permits, receipts, etc.).
  • Assist with payroll processing, timesheets, and vendor payments.
  • Coordinate with technicians and management for daily job assignments.

  • Handle basic bookkeeping tasks and update CRM or project management software.
  • Prepare COIs, job packets, and compliance documents when needed.
  • Perform general office duties such as scanning, filing, and managing calendars.
