Position Summary: Project Coordinators are responsible for assisting the Project Managers in managing assigned millwork projects from post-contract administration through installation and warranty period. The Project Coordinator also participates in the development of a project(s) (handoffs) and assists in overseeing the project(s) to completion. We're looking for a Project Coordinator with the ambition to advance into a Project Manager role over time.
💼 What You'll Be Doing:
  • Consistently coordinate with the Project Manager (PM) on project files and records and fill in for the PM in their absence which includes fielding questions from various departments and responding to emails and/or phone calls in a timely manner.
  • Always be aware of project progress
  • Review architectural plans and specs to ensure a complete understanding of applicable scope
  • Set up job folders and familiarize themselves with the contract and all necessary documentation that will be needed throughout a project
  • Research project materials (where to purchase, cost, lead times and spec requirement compliance)
  • Attend and take notes at the project handoff meeting with Estimator and Engineering
  • Set up electronic and hard copy files
  • Review and understand CIMI's proposal
  • Familiarize themselves with individual projects including the reviewing and understanding of project documents including the contract and its terms and conditions
  • Review and understand additional information pertaining to the project - not in the conditions.
  • Will need to be comfortable speaking with subcontractors regarding various project-related issues
  • Obtain estimates from potential subcontractors and make sure their insurance is current and in place
  • Assist Project Manager in writing RFI's (Request for Information) to make sure the necessary information is obtained and distributed so that various processes may proceed in a timely manner
  • Coordinate and keep information flowing to subcontractors including scheduling, deliveries, changes, etc.
  • Establish and maintain relationship with customer's Project Engineer, Project Manager and Superintendent
  • Closeout and archive projects upon completion
  • Assist the Project Manager in the provision of all closeouts and warranty documentation in accordance with the customer's specifications
  • Provide excellent customer service to internal and external customers
  • Ensure that open contracts are billed each month and that all necessary documents are completed and submitted to the customer for the contract requirements
  • Meet deadlines with minimal supervision
  • Ability to handle multiple tasks in a fast-paced, deadline orientated environment
  • Maintain work area, organized and orderly, ensuring compliance with safety regulations.
  • Accompanying Project manager to the field and possess the ability to take field dimensions
  • Open to feedback and coachable

Job Details
  • 💰 Salary: $23 to $28 an hour, commensurate upon experience.
  • Job Type: Full Time. Shift, Mon- Fri, 7:00am - 4:00pm .(with overtime as needed).
