Executive Assistant

Location: 40 Duke Madison Circle Suite 1117 (Duke South, Green Zone)

Work Mode: Local

Schedule: Full Time - M-F 8AM-5PM

Duration: 8 Weeks, covering a LOA. May be shorter or slightly longer contract term

Responsibilities:
  • Support and report directly to the Chief Nursing Executive.
  • Resolve complex administrative problems independently.
  • Manage all aspects of the Chief Nursing Executive's office.
  • Screen executive's mail, email, voicemail, and appointments using expert judgment and knowledge.
  • Anticipate executive's needs and proactively gather resources to address issues.
  • Prepare financial and operational reports and analyses, forecasting and managing the budget.
  • Serve as departmental liaison concerning company policies and procedures, grant administration, and budgetary preparation and control.
  • Develop presentations for the Chief Nursing Executive.
  • Handle confidential information with discretion.
  • Engage in regular outside contacts on behalf of the executive with various stakeholders.
  • Interpret departmental policies and make decisions on operating problems.
  • Represent the company or Chief Nursing Executive on internal or external committees.
  • Supervise a small group of clerical assistants and manage personnel actions.
  • Plan, organize, and coordinate the administrative aspects of the Executive's office functions.
Requirements:
  • Education: Bachelor's degree
  • Experience: Minimum six years of executive secretarial experience or equivalent combination of education and experience.
  • Familiarity with fast-paced environments.
