Job description

Job Type: Full-Time
Work Location: In Person

Hours: Mon-Fri 8-5pm

Job Summary

We are seeking a detail-oriented Contract Administrator to support our estimating, accounting, and project teams. This position will help coordinate bids, contracts, permits, billing, subcontracts, and change orders while keeping projects organized and moving forward.

The ideal candidate has construction industry experience, strong computer skills, excellent organization, and the ability to manage multiple deadlines at once.

What You'll Do
  • Assist estimators with preparing and submitting bids
  • Assemble bid packages, including bid bonds, affidavits, and prequalification documents
  • Prepare contracts and documents for signatures
  • Process subcontracts and assist with subcontractor documentation
  • Obtain required permits and complete ODOT, City, and OKIE locate requirements
  • Assist with monthly billing to general contractors and project owners
  • Process and track change orders
  • Maintain subcontract records, including billing, payments, and lien waivers
  • Coordinate between the estimating and accounting departments
  • Assist with additional administrative and project-related tasks as needed
Qualifications
  • High school diploma or equivalent
  • 5+ years of verifiable construction experience
  • Strong organizational and time-management skills
  • Excellent written and verbal communication
  • Proficient with Microsoft Office, Excel, and Word
  • Comfortable learning new computer programs and company software
  • Accounting software experience is a plus
  • Ability to manage multiple projects and meet deadlines
  • Strong problem-solving and analytical skills
  • Positive attitude and willingness to learn
  • Team-oriented and able to take direction
