CONTRACT ADMINISTRATOR-INTERNATIONALDepartment: Contract AdministrationReports to: Supervisor, Contract AdministrationFLSA Status: Exempt

Posted Salary Range: $67,746 to $85,000


Summary

Coordinates with Supervisor and Director of International Business to prepare bids, prepare and enter orders. Assists with negotiations, acknowledge contract orders, terms and conditions, including dates, warranties, guarantees, insurance, and bonds.

ESSENTIAL DUTIES AND RESPONSIBILITIES
  1. Prepare International bids and order processes for all countries outside of US ensuring that documentation is completed and saved in Contract Admin Files.
  2. Prepare and transmit sales proposals and bid packages by utilizing system databases; and, be a liaison with various Aqua departments.
  3. Prepare and perform order entry including documentation requirements for international orders.
  4. Communicate with various Aqua departments and customers to determine outcome of bids and contract compliance needs such as special warranties, bonds, insurance, and other special project requirements for current territory.
  5. Negotiate and acknowledge contract orders, terms and conditions including dates, warranties, guarantees, insurance, and bonds for current territory.
  6. Work with the sales team, shipping department and/or contracted international Freight Forwarder to ensure contracts are negotiated to the most current incoterms.
  7. Update International APD Open/Closing Notes and APD Correspondences as directed.
  8. Backup other domestic and International Contract Administrators per assignment.
  9. Participate in the Export Control group to update procedures as needed.
  10. Produce reports and performance trends illustrating international business strategy performance.
  11. Update current team members with changes to procedures specifically within the International Sales Department.
  12. All other duties as assigned.
knowledge, skills and abilities

Must be computer literate and have familiarity with MS Office, Bluebeam, and Adobe Acrobat software. Proficient typing skills and ability to operate a calculator, a copy/fax/scanner machine. Multi-tasking and confidentiality are key.

WORK ENVIRONMENT

Usual office working conditions with moderate noise such as computers and printers, telephones and copy machines.

Minimum qualifications

Associate Degree plus a minimum of 5 years of related training and experience or any equivalent combination of training and experience. Preference on 5 years of negotiation experience within international business activities or environment.
