POSITION SUMMARY:

  • The Project Coordinator reports to the Supervisor, Project Coordinators
  • Located in Irvine, CA
  • Full-Time
  • In Office

The Project Coordinator is responsible for managing multiple projects from contract entry to final project reconciliation and billing. This role plays a critical role in ensuring timely delivery of equipment to projects while maintaining strong customer relationships throughout the process. The Project Coordinator serves as a liaison between various departments within the organization, customers, and suppliers.

ESSENTIAL FUNCTIONS & RESPONSIBILITIES:

Project Management:

  • Manage projects through all phases, including initial set-up, purchasing, customer communication, and shipment of product.
  • Import order information into the database/ERP system and verify accuracy against quotes and plans.
  • Collaborate with Project Manager, Estimator, and Sales to ensure contract accuracy and alignment with project requirements.

Customer Relationship Management:

  • Work closely with customers to address questions, problems, or complications that may arise during the project.
  • Identify and communicate project schedules to ensure alignment with customer expectations and production schedules.
  • Notify relevant stakeholders immediately of any delays caused by external factors.

Administrative Support:

  • Organize and maintain a project filing system to ensure documentation is readily accessible.
  • Process change orders as necessary and mitigate costs by identifying potential substitutions.
  • Review contracts to ensure compliance and prevent payment delays at project completion.

Communication and Collaboration:

  • Participate in weekly meetings to update the team on project status and address specific questions.
  • Assist other Project Coordinators when scheduling conflicts arise.

QUALIFICATIONS & EXPERIENCE:

  • High School diploma or equivalent required; Business/Technical degree or equivalent experience preferred, or equivalent military or practical experience.
  • 2 – 3 years of experience in a Project Coordinator role.
  • Experience in business sales is a plus.
  • Moderate billing experience required.
  • Proficiency in Microsoft Excel, Word, Outlook, and database systems.
  • Familiarity with Inforsx; experience with AutoQuotes and DataModes is a plus.
  • Ability to successfully pass a background check post offer acceptance.
