Job description

Are you a people-first communicator with a passion for helping others during difficult times? Our personal injury law firm is looking for a motivated Intake Specialist to be the first point of contact for potential clients. You'll play a critical role in converting leads into signed cases while delivering a compassionate, world-class experience from the very first call.
What you'll do
  • Answer inbound calls, web inquiries, and referrals promptly and professionally, ensuring no lead goes uncontacted.
  • Conduct thorough intake interviews to gather case details and qualify prospective clients against firm criteria.
  • Confidently present the firm's services and guide potential clients through the sign-up process - hitting weekly and monthly conversion targets.
  • Follow up persistently with prospects via phone, text, and email to maximize case sign-ups.
  • Accurately document all client information and case notes in the firm's case management system (CRM).
  • Coordinate with attorneys and paralegals to ensure smooth handoff of newly signed clients.
  • Handle client inquiries with empathy, professionalism, and urgency.

What we're looking for
  • 2+ years of experience in a sales, customer service, or client-facing intake role (legal, healthcare, or financial services preferred).
  • Proven track record meeting or exceeding sales conversion goals or KPIs.
  • Exceptional communication skills - warm, persuasive, and clear on both phone and in writing.
  • Ability to handle high call volume while maintaining accuracy and a positive attitude.
  • Strong organizational skills and attention to detail in data entry and documentation.
  • Empathy and sensitivity when speaking with injured individuals and their families.
  • Proficiency with CRM software or case management systems; ability to learn new technology quickly.
  • Bilingual in English and Spanish is a strong plus - additional compensation may be offered.
