Bilingual Client Intake Specialist

Position Overview


The Client Intake Specialist at Inner Circle Autism Network is responsible for coordinating all steps of the client admission process. Client Intake Specialists play a key role in the growth of the organization by ensuring clients transition to services in an efficient manner. This position requires a high level of attention to detail, process management skills, problem-solving, and interpersonal communication. This is an operational role that does not supervise others.


Key Job Responsibilities


Coordinate all stages of the client intake process from initial inquiry through admission, ensuring timely communication, accurate documentation, and resolution to barriers.


Manage an active and dynamic caseload of prospective clients and ensure timely progression through all stages of the intake process.


Responsible for receiving initial service inquiries and communicating through a variety of channels including phone, text, email, fax, and web-based patient management and CRM systems.


Communicate and coordinate with key internal and external stakeholders to facilitate successful client admissions and census growth including Inner Circle Autism Network clinical and operational staff and external physicians, case managers, therapists, guardians, and funding source representatives.


Identify and address barriers to admission with families, funding sources, providers, and internal stakeholders.


Manage regular and timely communication with client guardians including initial intake calls, scheduling tours and assessments, and informing about intake status.


Gather and document information about potential clients including demographics, funding sources, client needs, and required paperwork in accordance with local, state, federal, and ICAN policies.


Educate clients and families on ABA services, programs, and the intake process and answer questions related to Inner Circle Autism Network.


Maintain accurate and complete client records, documentation, and status updates across practice management, CRM, and other organizational systems.


Verify client insurance benefits, communicate coverage with client guardians, and coordinate with internal billing teams to ensure insurance requirements for admission have been met.


Provide exceptional customer service and support to clients throughout the intake process.


Maintain strict confidentiality standards in accordance with federal HIPAA regulations, state privacy rules, and Inner Circle Autism Network privacy policies.


Other job duties as assigned.


Qualifications


Preferred bilingual proficiency in English and Spanish. Additional language skills may be considered in lieu of Spanish proficiency.


2+ years of experience in patient-facing roles within healthcare, behavioral health, social services, client services, or intake operations.


Knowledge of Applied Behavior Analysis (ABA) principles and practices preferred.


Strong communication, organizational, customer service, and interpersonal skills.


Demonstrated ability to maintain accuracy, attention to detail, and productivity while managing multiple priorities in a fast-paced environment.


Strong critical thinking and problem-solving skills, with the ability to analyze information, identify solutions, and make sound decisions independently.


Demonstrated ability to take initiative, follow through on tasks, and drive issues to resolution with minimal supervision.


Ability to adapt to changing priorities, processes, and client needs while maintaining professionalism and accuracy.


Proficiency in Microsoft 365 applications including Word, Excel, Teams, Outlook, and OneNote.


Experience with CentralReach or similar practice management systems and Monday CRM or similar customer relationship management platforms preferred.


Demonstrated ability to learn and effectively utilize multiple technology platforms, databases, and communication systems.
