What does a chief of staff do?

A Chief of Staff is a senior executive who supports the leadership, often the CEO or other top executives, by managing key initiatives, facilitating communication across departments, and ensuring strategic priorities are executed. They often act as a trusted advisor, coordinating projects, preparing reports, and representing leadership in meetings. The role varies by organization but generally focuses on improving efficiency and helping leaders focus on high-impact activities.

What does a chief of staff do?

As a chief of staff, you are the right hand of the CEO at your company. Your job duties are to act as a sounding board for the CEO regarding new ideas and strategies, communicate with other executives, clients, and stakeholders, take meeting notes and attend meetings on the CEO’s behalf, and help the CEO prioritize their time. The chief of staff (COS) role is different from the chief operating officer (COO) in that the COS reports directly—and primarily—to the CEO, not to the board, other executives, or major stakeholders.

What are the key skills and qualifications needed to thrive as a chief of staff?

To thrive as a Chief Of Staff, you need strong leadership, strategic planning, and organizational skills, often supported by a bachelor's or master's degree in business, public administration, or a related field. Familiarity with project management software, CRMs, and data analysis tools, as well as experience managing cross-functional teams, is highly valued. Exceptional communication, problem-solving, and discretion are essential soft skills for building trust and navigating complex organizational dynamics. These capabilities enable Chiefs Of Staff to drive alignment, optimize executive effectiveness, and ensure that organizational priorities are efficiently executed.

What are some common challenges faced by a chief of staff when supporting executive leadership, and how can they be navigated?

Chiefs of Staff often face the challenge of balancing multiple high-priority projects while ensuring executive leaders are well-informed and focused on strategic goals. Navigating this requires strong organizational skills, discretion, and the ability to anticipate the needs of both leaders and stakeholders. Chiefs of Staff frequently act as liaisons between departments, so effective communication and relationship-building are essential. Proactively managing time, setting clear priorities, and establishing trust with the executive team can help overcome these challenges and enable impactful support.

Is a chief of staff high paying?

A chief of staff typically earns a high salary, especially in large organizations or corporations, with compensation often exceeding six figures. Factors such as industry, company size, location, and experience influence the pay scale for this role. It is considered a well-compensated executive position requiring strong leadership and strategic skills.

Job description

DefinedTalent is partnering with a rapidly growing, venture-backed AI company that is transforming how complex, highly regulated industries leverage automation, intelligence, and scalable technology.
Already working with enterprise clients and industry leaders, this organization is building innovative AI-driven solutions that have the potential to fundamentally reshape how critical business processes are executed. As they enter their next phase of growth, they are seeking a highly driven Chief of Staff to work directly alongside the CEO and executive leadership team.
This is not a traditional Chief of Staff role focused on coordination and administration. This is a builder and operator role designed for someone who thrives in fast-paced environments, enjoys solving complex challenges, and wants a front-row seat to scaling a category-defining company.
Position Overview
The Chief of Staff will serve as a strategic partner to the CEO, helping drive execution across company-wide initiatives, operations, growth strategy, fundraising efforts, partnerships, and organizational scaling.
The ideal candidate is equally comfortable in the boardroom and in the trenches, someone who can move seamlessly between strategic planning and hands-on execution while helping create the systems, processes, and alignment necessary for sustainable growth.
Key Responsibilities
Strategic Leadership & Execution
  • Partner directly with the CEO on strategic initiatives and organizational priorities
  • Drive execution of key business objectives across multiple functional areas
  • Support company growth initiatives, operational planning, and scaling efforts
  • Identify opportunities to improve efficiency, communication, and organizational effectiveness
Investor & Executive Support
  • Prepare investor presentations, fundraising materials, and board reporting packages
  • Assist with executive communications and strategic messaging
  • Support leadership team planning, goal tracking, and accountability initiatives
Cross-Functional Project Management
  • Coordinate high-priority projects across technical, operational, and commercial teams
  • Ensure alignment and execution across multiple stakeholders and workstreams
  • Remove roadblocks and drive projects from concept through completion
Partnerships & Business Operations
  • Support strategic partnerships and enterprise customer relationships
  • Assist in developing operational frameworks and scalable business processes
  • Contribute to organizational planning and growth initiatives
Talent & Organizational Growth
  • Partner with leadership on recruiting and talent acquisition efforts
  • Help build and scale organizational infrastructure as the company grows
  • Support initiatives that strengthen culture, communication, and team effectiveness
What We're Looking For
  • Exceptional organizational and project management skills
  • Strong executive communication and stakeholder management abilities
  • Ability to operate effectively in ambiguous, fast-moving environments
  • Highly proactive, resourceful, and execution-oriented mindset
  • Comfortable balancing strategic thinking with hands-on execution
  • Interest in emerging technologies, innovation, and high-growth environments
Preferred Background
Experience in one or more of the following areas is highly valued:
  • Startup or high-growth companies
  • Management consulting
  • Venture capital or private equity
  • Healthcare, life sciences, or biotechnology
  • Artificial Intelligence or technology organizations
  • Business operations, strategy, or executive leadership support
Why This Opportunity?
This role offers a rare opportunity to work side-by-side with a founder and executive team, helping shape the future of a rapidly growing organization. For the right person, this is more than a Chief of Staff role, it's an opportunity to help build a company, influence key decisions, and create meaningful impact at a pivotal stage of growth.
Requirements
Required Qualifications:
  • 5+ years of relevant experience in Chief of Staff, operations, strategy & operations, business operations, or similar roles
  • Prior experience working in a startup environment
  • Experience owning and operating across hiring/recruiting, finance and budgeting, GTM and sales operations, and partnerships/vendor management
  • Experience managing stakeholders including investors, board members, enterprise customers, clinical study partners, vendors, and internal team leads
  • Authorized to work in the United States
Preferred Qualifications:
  • Bachelor's degree
  • MBA

Benefits
  • Comprehensive health insurance (medical, dental, vision)
  • 401(k) retirement plan with company contribution
  • Generous paid time off and holidays
  • On-site office in Princeton, NJ with modern amenities
  • Opportunities for rapid professional growth in a high-impact, scaling organization
  • Collaborative, flat organizational culture with direct access to leadership
  • Professional development and training support
