What you will do:
The Benefits Manager is responsible for managing and executing the day-to-day operations of employee benefits programs across the United States. This role ensures accurate administration, compliance, vendor coordination, and seamless integration with payroll and HR systems. The position requires strong attention to detail, ownership of processes, and the ability to manage multiple priorities in a fast-paced environment.
Responsibilities:
Benefits Administration
  • Manage daily benefits operations, including enrollment approvals, eligibility tracking, and employee communications using bswift
  • Oversee administration of medical, dental, vision, FSA, HSA, HRA, COBRA, and voluntary benefits
  • Lead open enrollment activities, including system configuration, vendor coordination, and employee education
  • Develop and maintain benefits communication materials to improve employee understanding and engagement
  • Ensure accuracy of benefit elections, payroll deductions, and system records

Vendor Management & Billing
  • Partner with brokers and vendors to manage benefit plans, renewals, and ongoing service delivery
  • Manage relationships and billing processes with our benefit providers.
  • Review, reconcile, and approve invoices, including monthly funding, administrative fees, and claims
  • Lead recurring vendor meetings to review reporting, funding, and service issues
  • Complete monthly benefit billing reconciliations and resolve discrepancies

Retirement & Compliance
  • Administer 401(k) plans, including enrollments, contribution changes, and payroll deductions
  • Coordinate and support annual 401(k) audits and Form 5500 filings
  • Ensure compliance with federal and state regulations, including ERISA, COBRA, and FMLA requirements
  • Maintain documentation and support audit readiness for all benefit programs

Payroll & HRIS Integration
  • Partner closely with payroll to ensure accurate processing of new hires, terminations, and status changes
  • Manage salary updates, benefit deductions, and leave tracking (FMLA, parental, medical)
  • Perform pre- and post-payroll audits to validate benefit deductions and contributions
  • Upload and reconcile benefit funding (HSA, FSA, 401(k), prevailing wage) through vendor portals
  • Maintain PTO and leave balances

Leave of Absence Administration
  • Support and track employee leaves, including FMLA, parental leave, and short-term disability
  • Ensure compliance with company policy and regulatory requirements
  • Maintain leave tracking systems and provide reporting as needed

Reporting & Systems Management
  • Prepare and analyze weekly, monthly, and annual benefits reports
  • Maintain benefits databases and ensure data integrity across systems
  • Troubleshoot system issues and partner with vendors to resolve data or functionality concerns

Process Improvement & Projects
  • Identify opportunities to improve benefits administration processes and workflows
  • Support implementation of new systems, vendors, or benefit programs
  • Participate in cross-functional projects impacting HR, payroll, and benefits operations

Qualifications/Skills:
  • Bachelor’s degree or equivalent experience in HR, benefits, or related field
  • 4+ years of experience in benefits administration or HR operations
  • Strong knowledge of U.S. employee benefits programs, including health, retirement, COBRA, and FMLA
  • Experience using Paylocity, ZOHO People, JIRA and/or Workday preferred
  • Advanced Excel and reporting skills preferred
  • Strong organizational, analytical, and problem-solving skills
  • Ability to manage multiple priorities and meet deadlines with minimal supervision
