Benefits Administrator / Benefits Operations Specialist
Hybrid | Tampa Bay, FL (3 days onsite / 2 remote)
Monday-Friday | 8:00 AM - 5:00 PM EST
We're partnering with a growing organization that supports a diverse employee population across multiple benefit plans and client groups. This role is ideal for a hands-on Benefits professional who thrives in a high-volume, operationally driven environment, particularly someone with PEO, shared services, or multi-client benefits experience.
What You'll Do
You'll play a critical role in the day-to-day administration and operational success of Health & Welfare and Retirement programs, ensuring accuracy, compliance, and a strong employee experience.
Benefits Administration & Operations
  • Administer Health & Welfare plans including Medical, Dental, Vision, Pharmacy, Section 125, COBRA, HIPAA, and voluntary benefits
  • Support 401(k) and retirement plans, including reviewing Fidelity data, identifying contribution discrepancies, processing catch-up contributions, and managing QDRO/QMSO activity
  • Handle benefit enrollments, life events, new hires, leaves of absence, and beneficiary updates
  • Perform file feeds, audits, reconciliations, reporting, and vendor invoice reviews

Employee & Client Support
  • Respond to employee inquiries through a case management system (FIFO), providing clear, accurate guidance
  • Educate employees on benefit plans by walking through plan documents live on calls, ensuring transparency and "source of truth" understanding
  • Partner closely with Payroll, Legal, and external vendors to resolve issues efficiently

Annual Enrollment & Projects
  • Assist with annual open enrollment, including system readiness, vendor coordination, communications, and issue resolution
  • Support ongoing benefits initiatives focused on operational efficiency, compliance, and employee experience

Vendor & System Management
  • Work directly with carriers, brokers, and consultants on day-to-day benefits administration
  • Contribute to process improvements, system enhancements, and documentation maintenance

What We're Looking For
  • 5+ years of experience in Benefits Administration, HR, or Benefits Operations
  • Strong knowledge of Health & Welfare plans and Section 125
  • PEO experience strongly preferred (or exposure to multi-client, shared services, or complex benefits environments)
  • Hands-on experience with medical and health benefits and retirement/401(k) administration
  • Familiarity with benefits compliance and regulations
  • Experience working in HRIS platforms (Oracle a plus); bswift experience preferred
  • Proficiency in Microsoft Office; comfort working with benefits data, audits, and reporting
  • Detail-oriented, highly organized, and able to manage competing priorities
  • Strong customer service and communication skills - confident explaining benefits to employees

Pay and Benefits
The pay range for this position is $26.49 - $26.49/hr.
