Job Summary:
Coordinates the day-to-day administration of the academic, operational and financial activities of one or more Accreditation Council for Graduate Medical Education (ACGME) residency and/or fellowship training program(s) in collaboration with the Program Directors (PDs)/Associate Program Directors (APDs), the Hartford Hospital Medical Education Office, attending faculty, residents/fellows and if applicable, the University of CT (UConn) GME office. All activities are performed in accordance with ACGME guidelines, Hartford Hospital GME policies and if applicable, the University of Connecticut. Serves as Program Coordinator for the Hartford Hospital program and site coordinator (if applicable) for UConn Residency/fellowship Program(s).
Job Responsibilities:
1. Collaborates with PDs/APDs and if applicable, UConn Affiliates to assure compliance with all program requirements and provides educational coordination between Department Chiefs/Directors, attending physicians, Hartford Hospital Medical Education Office and UConn GME Office, if applicable.
2. Provides administrative support to PDs/APDs.
3. Coordinates required paperwork for specific program affiliations, institutions and on-boards new residents/fellows in collaboration with the Hartford Hospital Medical Education Office and if applicable, the UConn GME office which will include scheduling EPIC training.
4. Provides administrative oversight for a residency or fellowship(s) program to include but not limited to drafting rotation and education schedules, preparing reports, handling inquiries, maintaining current program manuals, maintaining program files, scheduling meetings, and assisting in requests for verification of training.
5. Maintains/works with applicable program databases/systems [i.e. ERAS Database, New Innovations, GME Track, Web ADS, Healthstream, if applicable, AMION, blackboard, Myevaluations
6. Actively involved in recruitment of new residents/fellows including initial screening of applications to ensure qualification, scheduling interviews, and related.
7. Actively involved in annual program orientation and graduation.
8. Serves as Hartford Hospital Coordinator for a Residency or Fellowship Program(s) and provides administrative support to Hartford Hospital Director and if applicable, site directors.
9. Complete other responsibilities as assigned/deemed by the supervisor/manager to meet program and Departmental objectives.
Qualifications:
• Associate's Degree in business administration, secretarial science or related field
• Or, equivalency of combined education and experience.
• Three (3) years' experience providing high level administrative support to a complex department, function or group of professionals.
• Prior work experience in an academic medical center as a Residency or Fellowship Program Coordinator and/or Program Site Coordinator preferred.
• Training Administrators of Graduate Medical Education (TAGME) Certification preferred.
