Job description

The Payroll Specialist plays a vital role within a collaborative payroll team, reporting to the Senior Director of Payroll. Under the general supervision of the Director and Supervisor, this position is responsible for performing a variety of payroll functions, including preparing and processing payroll data, and generating payroll and financial reports. The Payroll Specialist ensures payroll is processed accurately and on time for regular payroll cycles, while maintaining payroll records in accordance with generally accepted accounting principles (GAAP), established policies, and regulatory requirements. This role requires a high level of accuracy, discretion, and professionalism when handling confidential employee information and responding to payroll-related inquiries.

Responsibilities

  • Process payroll data, adjustments, and wage calculations to ensure accurate and timely payroll processing
  • Audit payroll records, files, and employee data to verify accuracy and compliance with established procedures
  • Prepare payroll accounting reports, management control reports, and maintain records for reporting and audit purposes
  • Reconcile insurance reports and payroll system data to ensure accurate employee deductions and updates
  • Maintain employee payroll files, including new hire records, terminations, and document retention
    Process and maintain garnishment records, including required documentation and communication with external agencies
  • Manage payroll-related updates, including voluntary deductions, union dues, address changes, and employee file maintenance
  • Respond to employee payroll inquiries with professionalism while supporting special projects and departmental needs

Preferred Qualifications

  • Entry-level experience in payroll processing
  • Associate's degree in Accounting or related field
  • Familiarity with payroll software such as ADP
  • Proficiency in Excel for data management and reporting
  • Strong attention to detail and accuracy
  • Effective communication skills for employee interaction
  • Experience in data entry and maintaining confidentiality
