Administrative Assistant to Operations Manager

A growing construction contractor is seeking a highly organized and proactive Administrative Assistant to support the Operations Manager. This role is ideal for someone with 2-3 years of experience in construction, real estate, or property management who thrives in a fast-paced, detail-oriented environment.
Key Responsibilities
  • Act as the gatekeeper for the Operations Manager and company leadership
  • Read and interpret project plans and proposals
  • Coordinate communication across internal departments and external partners
  • Prepare and type proposals, contracts, and documentation
  • Manage permitting and badging requirements for field projects
  • Schedule and track integrity testing, ensuring timely follow-ups
  • Liaise with architects, engineers, consultants, and GCs on project updates and punch lists
  • Review contracts to ensure scope alignment and proper language
  • Oversee repair processes and warranty-related investigations
  • Coordinate job site walkthroughs and attendance
  • Take detailed notes during weekly operations and submittal meetings and follow up on action items
  • Monitor project schedules and flag potential issues to leadership
  • Ensure compliance with safety standards and company procedures
