Job description

Position Summary

The Executive Assistant will serve as a trusted partner to the CEO and executive leadership team. This role ensures smooth day-to-day operations through expert schedule management, communication support, meeting coordination, and administrative oversight. The ideal candidate is proactive, highly organized, detail-oriented, and able to thrive in a fast-paced environment.


Key Responsibilities

  • Manage complex calendars, schedule meetings, and prioritize requests for the CEO and executives.
  • Coordinate domestic and international travel, including itineraries, accommodations, and logistics.
  • Prepare, edit, and organize presentations, reports, and executive-level documents.
  • Serve as the primary point of contact between executives and internal/external stakeholders.
  • Draft professional correspondence and ensure timely follow-up on action items.
  • Coordinate leadership meetings, prepare agendas, take notes, and track deliverables.
  • Assist with expense reports, invoices, and budget tracking.
  • Maintain confidentiality of sensitive information at all times.
  • Support special projects and initiatives across departments as needed.
  • Help manage office-related tasks and ensure smooth functioning of executive operations.
  • Work closely with internal teams to facilitate communication, gather information, and ensure deadlines are met.
  • Coordinate with HR, Finance, Sales, Design, Operations, and other departments to assist with executive needs.
  • Represent the executive office with professionalism and service-oriented leadership.


Qualifications

  • 5+ years of experience as an Executive Assistant or in a similar administrative role; experience in apparel, consumer goods, or a creative industry preferred.
  • Strong organizational, time-management, and problem-solving skills.
  • Excellent written and verbal communication abilities.
  • Proficiency in Microsoft Office Suite, Google Workspace, and project management tools.
  • Ability to work on-site at the Burbank, CA office.
  • High level of discretion, integrity, and professionalism.
