Receptionist / Admin Assistant

Overview:
Support daily front desk and office operations in a professional office environment. Responsible for receptionist duties, visitor management, administrative support, and ensuring smooth office operations.
Job Responsibilities:

  • Answer and direct incoming phone calls in a professional manner.
  • Respond to emails and provide timely communication support.
  • Greet and assist guests, visitors, and clients upon arrival.
  • Manage and maintain conference room schedules and reservations.
  • Coordinate and order food/catering for meetings and office events.
  • Ensure office security by checking in visitors and maintaining visitor logs.
  • Perform light administrative tasks including invoice entry and documentation support.
  • Assist with Microsoft Excel tasks and general MS Office activities.
  • Maintain a professional and organized front desk environment.
  • Handle multiple responsibilities simultaneously while maintaining attention to detail.
  • Operate office and technical equipment as needed.
  • Lift and move materials/items up to 50 pounds when required.
Required Qualifications:
  • High school diploma required.
  • Minimum 3 years of related business experience preferred.
  • Strong preference for administrative, receptionist, switchboard, or legal office experience.
  • Associate or Bachelor s degree preferred.
  • Proficiency in Microsoft Office Suite, especially Word and Excel.
  • Excellent customer service and communication skills.
  • Strong phone and email etiquette.
  • Professional presentation and interpersonal skills.
  • Strong organizational and multitasking abilities.
  • Detail-oriented with the ability to work independently and efficiently.
