About the Role and Organization:
A D.C. nonprofit that provides emergency travel planning services and airplane tickets for the families and loved ones of wounded, ill, and injured service members, veterans, and fallen officers, during hospital recovery and rehabilitation is seeking an Operations Coordinator. The Operations Coordinator is responsible for providing support to the CEO. The coordinator interacts closely with the other departments to ensure short- and long-term goals are met. This person will complete a 90-day review, mid-year and year-end Performance Progress Report and Professional Development Plan. They will keep fixed and regular office hours from 9am to 5pm.

What You'll Do:
Operations:

  • Help CEO manage day to day in office tasks
  • Help manage employee work hours (help keep track of who’s late to work, leaves early etc.).
  • Handle transaction coding
  • Handle the amazon business account for ordering office supplies, snacks etc.
  • Update and maintain employee handbooks (a.k.a. office desk manuals) with update policies and procedures
  • With the support of leadership, source, train and manage incoming interns on a semester basis to work in operations and support marketing efforts
  • Help manage and define/update the Marketing, Operations, and Programs Universe diagrams- keep asking the team leaders for their updated versions (Manage external organizational vendors)
  • Update and help manage secure sites and corporate intellectual property like Classy and Dropbox
  • Update and Post jobs and manage the recruiting firms as they identify new hires for specific roles within the organization
  • Maintain external rating sites including Better Business Bureau, Guide-Star and CFC with the support of the Development Coordinator

Fundraising and Donor Management:

  • Handle check processing: Intake, process and reconcile all monetary and in-kind donations
  • Track the values of all in-kind donations like Delta gift cards, Grunt Style blankets etc.
  • Work with various teams to develop the printed content (packet materials) for tabling events and sales/donor meetings noted below
  • Assist CEO with the large marketing projects relating specifically to mass media marketing, T.V. news hits, and T.V. commercials
  • Assist CEO with CEO’s sourced donors
  • Assist CEO with managing the two annual mailers
  • Assist development staff with annual events on a limited basis as needed by coordinating internal and external resources
  • Utilize online marketing software and/or a graphics design intern to create materials in support of Development and Programs Departments, events, campaigns, newsletter, etc.
  • Attend expos, symposiums, conferences, resource fairs, and program-related meetings and events as needed and as requested

Value Added Expectations:

  • Personally initiate and cultivate relationships that will enhance connections for loyal and reoccurring donors to pass on to the Development team
  • Represent the organization on task forces, coalitions, and other community groups, as assigned by the Director
  • Stay abreast of philanthropic, economic, social, and community trends

Job Requirements:

  • Bachelor’s degree required
  • Proven and successful track record of program coordination
  • Drive to achieve goals through teamwork
  • Ability to develop and deliver presentations and speak persuasively
  • Must be familiar with Word, Excel, and PowerPoint; this role is data and detail-oriented
  • Previous database management knowledge preferred
  • Strong interpersonal skills and ability to work effectively with many work styles
  • Strong written and oral communication skills; including giving effective group presentations
  • Ability to manage multiple short-term and long-term projects simultaneously
  • A strong work ethic, innovative spirit, and the ability to represent the organization in a professional manner
  • Flexibility to work with a team or independently
  • Ability to manage issues and crises calmly and effectively while interacting with beneficiaries
  • Operates with professionalism and confidentiality
