Position Summary:

Reporting to the Chief Advancement Officer (CAO), the Advancement Services Manager is a data-driven professional who provides strategic support for a comprehensive fundraising program and leadership to the overall information/data needs of the Advancement Office. These needs include data analysis, campaign reporting, prospect strategy and research, gift processing and reporting, records and fund management, and utilization of the Advancement department’s CRM platform, Blackbaud’s Raiser’s Edge.

Essential Duties:

The primary focus of the Advancement Services Manager will be the maintenance and upkeep of the department's information technology services, gift processing and prospect research, records management, program analysis and reporting. The Advancement Services Manager serves as a key resource for the organization's efforts to understand its constituent data by enabling and carrying out analysis and segmentation efforts.

Responsibilities:

  • Database management:

  • Maintain the structure and integrity of the database, including creation of new records, updating records, tracking events, and updating data from other platforms as necessary.

  • Create queries based on solicitation and event segmentation strategies and registration pages in Advancement department’s CRM. Provide data needed for events.

  • Gift & Stewardship management:

  • Oversee the timely entry of pledges and gifts, and provide guidance to the Advancement Assistant, including setting up receipt and acknowledgement templates; producing acknowledgment letters; tracking stock and wired gifts; processing matching gift requests; managing special projects such as employee payroll deductions for donations; tracking gifts to various appeals, including the Annual Fund, campaigns, and other fundraising initiatives.

  • Manage capital donor recognition opportunities available on campus, both committed to donors and those available for gift recognition. Maintain existing and order new donor signage as needed, in coordination with Facilities team.

  • Prospect management and research:

  • Maintain the assignment of solicitors to a network of individual major and principal gift prospective donors in Advancement department’s CRM.

  • Utilizing donor screening data, identify and recommend major and principal gift prospects not currently under assignment.

  • Advancement reports:

  • With guidance from the Chief Advancement Officer, create and produce reports, lists, and statistical data as needed by the Advancement team, School leadership and Advancement volunteers. In addition to routine needs, pulls lists of donors for the Annual Report and completes the annual NAIS/DASL and INDEX surveys.

  • In partnership with the Chief Advancement Officer, and the business office and enrollment management teams, support the assembly and distribution of endowment reports to donors each year.

  • Liaison with business office:

  • Collaborates closely with colleagues in the business office to set up new funds, campaigns, and link to General Ledger. Supply supporting documentation as requested by the business office for annual audit.

  • Additional duties as assigned: May periodically assist the advancement team with various projects, assisting with school-wide events, etc.

Qualifications:

  • Required:

  • Bachelor’s Degree or equivalent work experience.

  • Proficiency in working with databases, CRM systems, reporting tools and Microsoft Office products (especially Excel, Word, and Outlook) with the ability to adapt to new programs and software.

  • Demonstrate an understanding of Advancement Services as a functional area, including database management and data maintenance, gift processing, donor stewardship, customer service, and prospect management.
