Job Description

Job Title: Facilities Specialist

Primary Location Focus: SAMMinistries Emergency Shelter (318 W. Cesar E Chavez Blvd)

Department: Support Services

Reports To: Support Services Supervisor

FLSA Status: Non-exempt

Prepared Date: November 2023

Compensation: 18.65/hr to 24.71/hr

SUMMARY: Performs on-site maintenance work and preventative maintenance activities as needed. Performs the necessary work (painting, cleaning, etc.) to maintain facilities for shelter operations. May be assigned duties at any facility or property owned or leased by SAMMinistries as directed by the Support Services Supervisor.

ESSENTIAL DUTIES AND RESPONSIBILITIES include the following. Other duties may be assigned.

  • Inspects emergency shelter on a regular basis to determine the need and extent of required repairs, service, equipment, type and number of operation and maintenance needed to insure its integrity and physical condition.
  • Maintains shelter, performing minor and routine painting, plumbing, electrical wiring, carpentry, and other related maintenance activities.
  • Conduct a walk through inspection prior to move in of clients, to ensure the room is clean and ready to be occupied, and perform any needed repairs after client moves out.
  • Communicates with program management and the Support Services Supervisor any issues or damages caused by and/or concerning client.
  • Perform minor maintenance and routine preventative maintenance on all vehicles used by the SAMMinistries Emergency Shelter team. Reports vehicle issues and takes them in for repair as needed. Takes vehicles for regular oil changes – every 3 months or 3,000 miles. Guarantees vehicles have current registration and inspection. Documents and maintains record of transportation.
  • Purchases necessary supplies – obtaining approval when necessary.
  • Drive SAMMinistries vehicles as needed for work purposes (picking up supplies, etc.)
  • Performs custodial duties while preparing rooms for new client.
  • Builds, repairs, and installs counters, cabinets, benches, partitions, floors, doors, framework, and trim.
  • Installs glass in windows, doors, and partitions.
  • Replaces damaged ceiling tile, floor tile, and wall coverings.
  • Installs items such as window shades, Venetian blinds and curtain rods, wall fans, ceiling fans, and door locks for clients.
  • Repairs, patches, and replaces drywall as needed.
  • Assembles furniture as needed.
  • Replaces air conditioner filters as needed.
  • Assist with pest control scheduling and coordination as needed.
  • Assists with showing contractors problem areas upon their arrival.
  • Responsible for the proper use and storage of various tools and equipment.
  • Monitors SysAid work orders and executes requests in a timely and efficient manner.
  • Turns in all appropriate paperwork (receipts, timesheets, packing slips, etc.) to accounting and/or other necessary staff in a timely and efficient manner.

SUPERVISORY RESPONSIBILITIES: Occasionally assists with directing volunteers and contractors.

EDUCATION and/or EXPERIENCE: High School degree or GED

LANGUAGE AND WRITING SKILLS: Ability to read and interpret documents such as safety rules, operating and maintenance instructions, and procedure manuals. Ability to write routine reports and correspondence. Ability to respond effectively to the most sensitive inquiries or complaints. It is helpful, but not required, if the employee can speak conversational Spanish.

PHYSICAL DEMANDS: While performing the duties of this job, the employee is regularly required to use hands to handle or feel objects. The employee regularly is required to stand, walk, stoop, kneel, crouch, crawl, and reach with hands and arms. The employee frequently is required to sit, hear, and talk. The employee is required to lift and/or move up to 50 pounds. Lifting as a team may be required. Specific vision abilities required by this job include close vision, distance vision, color vision, peripheral vision, depth perception, and the ability to adjust focus. Employee must be able to operate machinery such as buffers, carpet cleaners, etc. and use tools and other equipment such as dollies, ladders, general power and manual hand tools, etc. to perform necessary job duties.

WORK ENVIRONMENT: The work environment characteristics described here are representative of those an employee encounters while performing the essential functions of this job. Individuals may be required to work with cleaning products that include mixing chemicals. Traveling during inclement weather may occur. Individuals will experience exposure to both indoor and outdoor temperatures and working conditions on a daily basis. Individuals may be exposed to loud noises emitted from tools, equipment, alarms, etc. Safety should be a priority heavily considered at all times. Proper safety policies and procedures should be followed, and questions should be asked when in doubt. Personal protective equipment (PPE) should be used accordingly.
