Hours: FT

Pay range: $50-60K, depending on experience

Benefits: 10 days PTO + nine major holidays and your birthday (20 days total), 401K eligible after one year, health care after a 60-day introductory period

Location: Malvern, PA 19355, Philadelphia Main Line area

Duties and responsibilities

Procurement Responsibilities:

  • Manage purchasing by placing orders with vendors as specified by design team members
  • Obtain pricing from vendors and create proposals in our design management software
  • Execute all purchase orders with accuracy
  • Manage client, vendor, and product data in our design management software
  • Maintain order tracking reports and update clients regularly
  • Assist in preparing purchase orders and tracking reports
  • Schedule appointments such as installs, measures, etc
  • Coordinate deliveries
  • Stock checks and inventory management of studio accessories and client deliveries
  • Verify orders with vendors and confirm delivery dates
  • Updates system with requirements, specifications, and delivery information
  • Work with the Accounting and Finance team to update payment schedules, priorities, and requests. Audit and match invoices, investigate pricing discrepancies
  • Ensure product arrives on time as acknowledged on PO's
  • Receive studio packages, inspect products, and track receipts daily
  • Update open order delivery status weekly to keep the design team informed of the status of fulfillment against backdrop of installation schedule
  • React and problem-solve customer/vendor calls regarding issues with production, delivery, and other questions
  • Verify that the order arrived undamaged with the shipping department; resolve damages and claims
  • Work with the warehouse team to coordinate all deliveries and pick-ups and verify product is readily available

Design Responsibilities
  • Assist Senior Designer(s) in developing design concepts and space planning
  • Assist on design projects as necessary, i.e., measurements, deliveries, client appointments, etc
  • Assist design team with visual presentations for client presentations - including but not limited to mood boards, proposals, image books, and renderings
  • Research materials, finishes, and furnishings to support design concepts
  • Assist in sourcing and selecting furniture, fixtures, and accessories
  • Prepare presentations for client meetings, including collection of samples
  • Collaborate with contractors and vendors to coordinate project details
  • Support the project team in meeting deadlines and staying within budget constraints
  • Stay updated on industry trends, new materials, and innovative design techniques
  • Handle administrative tasks such as organizing design files, maintaining material libraries, and managing project documentation through daily use of task management system, ClickUp, for team communications and status reporting
  • Daily use of Houzz Pro and Harvest with expert accuracy
  • Attend and document full firm and design team meetings as needed
  • Keep the office running smoothly (answer phones, receive packages, organize samples, general upkeep, etc.)

Qualifications
  • Must be located in the Philadelphia Main Line area
  • Maintain a positive attitude and strong work ethic

  • Demonstrate strong analytical, decision-making, and negotiation skills
  • Possess strong attention to detail
  • Ability to perform multiple tasks with accurate and detailed results

  • Possess a keen eye for process improvement
  • Ability to leave a task and return to it with ease
  • Possess strong verbal and written communication skills
  • Must be process-oriented, tech-savvy, and innovative
  • Capable of putting a plan, decision, or workflow into place; an Implementer
  • Possess strong follow-up skills

Work Environment
  • Functions primarily in an office and warehouse setting
  • Work requires the ability to sit, stand, and walk throughout the workday
  • Position requires the ability to talk and hear; good vision skills (with or without correction) are required
  • Position requires the use of fingers, hands, and arms on a consistent basis for computer and phone work
  • Occasional travel to client locations
  • The position must occasionally move inventory up to 40 pounds
