The Billing and Compliance Specialist is responsible for the accurate and timely data entry and extraction from automated client information systems, other management reports, and initiating processes to correct so information systems are complete and accurate. This individual is responsible for the submission of claims for Kids Central’s evidenced based programs (EBP) through the various Medicaid plans. Provides support to the Director of Clinical Services and the respective staff in the Family Preservation Department. Deals with a diverse group of important external clients and internal contacts at all levels of the organization. Independent judgment is required to plan, prioritize, and organize diversified workload, recommends improvements in job functions and procedures.

ESSENTIAL FUNCTIONS FOR ADMINISTRATIVE SPECIALIST:

  • Reviews Medicaid billable submissions for accuracy and compliance.
  • Submits claims to Medicaid providers for services rendered through Kids Central’s evidenced based programs.
  • Researches and resolves insurance billing issues.
  • Follows-up on all outstanding insurance claims.
  • Answers incoming calls, forwards calls, takes messages and answers general questions. Returns phone messages within 24 business hours.
  • Regularly checks e-mail; responds within 24 business hours.
  • Orders supplies for office and/or program. Ensures orders are received, items are distributed, and paperwork returned to accounts payable.
  • Receives and distributes incoming mail. Processes outgoing mail ensuring proper postage. Calls for package pick up as needed.
  • Uses the computer to create forms, letters, tracking sheets, reports, etc. as requested.
  • Maintains the safety and organization of the office area ensuring all items are kept neat and that any safety concerns are reported and resolved.
  • Maintains all filing.
  • Sends out reminders to staff regarding upcoming events, trainings, meetings etc.
  • Compiles monthly reports as needed.
  • Other duties and tasks as assigned.

QUALIFICATIONS:

Education/Experience

High school diploma, or equivalent and a minimum of three (3) years data entry experience.

Licensure/Certifications

Ability to pass a Level II Background Check

Valid Florida driver’s license

KNOWLEDGE, SKILLS & ABILITIES

  • Ability to meet Organizational Required Competency standards.
  • Excellent working knowledge of automated systems (systems used for this position include but are not limited to Florida Safe Families Network (FSFN), Integrate, FLMMIS, Excel, Microsoft Outlook, Word.
  • Strong communications skills (verbal and written).
  • Ability to analyze exception reports and other data management reports.
  • Ability to prioritize.
  • Ability to work well as a team member and independently.

WORK ENVIRONMENT AND PHYSICAL DEMANDS

This job regularly operates in a professional office environment. This role routinely uses standard office equipment such as computers, phones, photocopiers, filing cabinets and fax machines.

The physical demands described here are representative of those that must be met by an employee to successfully perform the essential functions of this job.

This is largely a sedentary role; however, some filing is required. This would require the ability to lift files, open filing cabinets and bend or stand as necessary. The employee frequently is required to stand; walk; use hands to finger, handle or feel; and reach with hands and arms. The employee must frequently lift and/or move objects up to 5 pounds and occasionally lift and/or move objects up to 10 pounds. Repetitive motion is also required. Specific vision abilities required by this job include close vision, distance vision, color vision, peripheral vision, depth perception and ability to adjust focus.
