Logistics Flatbed Dispatcher
JOB DESCRIPTION SUMMARY
The basic function of the Logistics Flatbed Dispatcher is to coordinate all aspects of freight transportation. The Logistics Flatbed Dispatcher partners with truck drivers, co-workers, businesses, and our customers to transport shipments, while ensuring the smooth and efficient scheduling, pick-up and delivery of freight.
REQUIRED EXPERIENCE
  • Requires a High School Diploma or equivalent.
  • At least 5 years’ experience in trucking/transportation industry.
  • At least 5 years’ experience load board and flatbed dispatching experience.
  • At least 5 years’ experience in logistics and/or supply chain management
REQUIRED SKILLS / ABILITIES
  • Ability to work independently or in a team setting.
  • Must be able to effectively communicate, in English, both verbally and in writing.
  • Excellent interpersonal, teamwork and customer service skills.
  • Strong knowledge of dispatching, office procedures and basic accounting processes.
  • Must have excellent time management skills.
  • Must have excellent organizational skills.
  • Must be highly detail oriented.
  • Must have advanced computer skills.
  • Must be available and willing to work Monday through Friday, 8am to 5pm.
  • Dependable – attendance, being on time as well as being at work as expected is very important.
ESSENTIAL FUNCTIONS
  • Follows and complies with all policies, procedures, guidelines, rules, and regulations.

  • As directed, in an accurate and in a timely manner, complete all work assignments and make the most effective use of their time and talent.
  • Complete and oversee a variety of dispatching, basic accounting, and administrative duties such as data entry, invoicing, recordkeeping, and communication activities.
  • Utilize the company communication systems, (telephone, fax, email, and the delivery of all messages/information), utilize the company and department policies, and procedures, and meet specific objectives or as directed by the Supervisor.
  • Perform dispatching duties independently or as directed by the Supervisor.
  • Successfully completes training and cross-training with other department personnel as directed by the Supervisor.
  • Ensures that documented standards for routine office and safety procedures and/or systems are being followed.
  • Meet all requirements needed to perform the essential functions, duties, and responsibilities of the position, to include physical requirements.
  • Must have the skills and knowledge to keep all lines of communication open within the office.
  • Ability to work with team members, drivers, customers, businesses, and owner operators that have exact time deadlines and are under a heavy workload.
  • Be able to perform all essential functions, duties, and responsibilities of the position.
DUTIES AND TASKS
  • Understand and be able to read emails from customers.
  • Be able to answer customer’s requests clearly (email and phone).
  • Understand the importance of answering emails on rate quotes and answer in a timely manner.
  • Understand rates/quotes/billing.
  • Understand and complete billing LH vs. LH-LB.
  • Understand and complete rate confirmation - POD’s attached with invoice, loading papers.
  • Understand and be able to put a load together, provide driver with a quote.
  • Understand and be able to get LTL/Partial/ Volume/Full Loads rate quotes from 3PL’S.
  • Understand and be able to give customers LTL/Volume/Full Loads rates with an added fee.
  • Be able to correctly use computer programs: PC Miler, Web App, Star Tracker, Internet Truck Stop, DAT.
  • Be able to understand and correctly complete data entry in Domestic Web App and how to invoice.
  • Run reports in Domestic Web App and create receipts in accounting system.
  • Set up loads with Load Brokers and Carriers.
  • Understand Broker List (must be approved for hauling).
  • Understand how your job affects other departments.
  • Understand and be able to correctly process advances for Ti Star drivers Check/Com Check/Fuel Card.
  • Understand Comcheck policy for fuel advances for L/B companies.
  • Process Tri Star drivers and Load Broker/Carrier deductions.
  • Book loads with commercial companies.
  • Setup new companies on commercial loads.
  • Post loads on load boards and follow through with Broker Packet.
  • Find flatbed loads.
  • Be able to see if a customer is set up, check credit (Credit/ Prepay/Watch).
  • Complete reports for management: Daily Flatbed Report.
  • Understand our status in the industry and our customer base.
  • Understand, follow, and ensure company owned equipment maintenance is completed on time.
  • Comply with inspection forms for all company owned equipment.
  • Check and/or ensure equipment is checked upon every return.
  • Understand what equipment the driver will need to haul and tie down a load.
  • Go over the checklist with new drivers on what equipment they carry on their flatbed and what areas they like to run.
  • Understand Last Free Day at the pier and LCL warehouses and ensure no extra charges are incurred.
  • Complete and perform any other duties and responsibilities as assigned.
