Load Planner/Dispatch Support
DESCRIPTION SUMMARY
The basic function of the Load Planner / Dispatch Support is to coordinate the shipping and logistics of freight. Arrange loads to be dispatched, expedite the route and movement of cargo as well as assist the dispatchers and logistics department as needed.
REQUIREMENTS
Requires a High School Diploma or equivalent.
At least 2 years’ experience in trucking/transportation industry.
Required Skills / Abilities:
  • Ability to work independently or in a team setting.
  • Must be able to effectively communicate, in English, both verbally and in writing.
  • Excellent interpersonal, teamwork and customer service skills.
  • Strong knowledge of logistics, office procedures and basic accounting processes.
  • Must have excellent time management skills.
  • Must have excellent organizational skills.
  • Must be highly detail oriented.
  • Must have advanced computer skills.
  • Must be available and willing to work Monday through Friday, 8am to 5pm.
  • Dependable – attendance, being on time as well as being at work as expected is very important.
ESSENTIAL FUNCTIONS

  • As directed, in an accurate and in a timely manner, complete all work assignments and make the most effective use of their time and talent.
  • Complete a variety of administrative duties such as data entry, invoicing, recordkeeping, and communication activities.
  • Utilize the company communication systems, (telephone, fax, email, and the delivery of all messages/information), utilize the company and department policies, and procedures, and meet specific objectives or as directed by the Supervisor.
  • Successfully completes training and cross-training with other department personnel as directed by the Supervisor.
  • Ensures that documented standards for routine office and safety procedures and/or systems are being followed.
  • Meet all requirements needed to perform the essential functions, duties, and responsibilities of the position, to include physical requirements.
  • Must have the skills and knowledge to keep all lines of communication open within the office.
  • Ability to work with team members, drivers, customers, businesses, and owner operators that have exact time deadlines and are under a heavy workload.
  • Be able to perform all essential functions, duties, and responsibilities of the position.
DUTIES AND TASKS
  • Arrange loads to be dispatched.
  • Expedite and route movement of incoming and outgoing cargo and freight shipments from warehouse to destination or from origin to warehouse.
  • Take orders from customers, prepare and arrange pickup of freight and cargo for delivery to warehouse.
  • Prepare rate confirmations and help in communication with drivers.
  • Examine bills of ladings inbound and outbound and verify shipping charges.
  • Assist the dispatch department with other tasks, as needed.
  • Computer Savvy - with advanced computer skills.
  • Perform data entry, searches, load building and reporting functions in the Web App.
  • Read measurements Length x Width x Height.
  • Write up a load on the broker sheets, showing where it picks up and where it delivers and put the load number on it.
  • Split freight for loads.
  • Check the rates for load vs. the rate receipt (ensure they match and if not, figure out where it is not matching).
  • Import vessel reports, put the containers in the order per vessel that you need the Intermodal department to pick them up in.
  • Complete 5-Day Report, needs to be done and turned in by noon to Supervisor.
  • Understand all dispatch reports.
  • Build future loads, from the non-stripped and cleared.
  • Follow policy of always being respectful and having honest communication with the drivers.
  • Understand how your job affects other departments.
  • Understand our status in the industry and our customer base.
  • Put the disclaimer on all carrier/ltl shipments.
  • Pull the other port agents card off the import board and have the driver sign for the shipment.
  • Send the loading papers and bol’s to the Market St warehouse.
  • Ensure the driver window is always taken care of, worked and assisted.
  • Print off bol’s/driver paperwork.
  • Continue to make loads.
  • Rate the export bookings.
