Job Description

PRE-LITIGATION PARALEGAL

As a Paralegal at Husband & Wife Law Team, you are the gatekeeper of our clients’ experience, and the project manager of their case. You will work closely with the assigned attorney and paralegal manager to proactively ensure cases are moving forward efficiently while providing exceptional service. In this role, you will assist the assigned attorney with motor vehicle accident cases that are pre-litigation where demand letters are sent to both the at-fault and underinsured carriers.

Paralegal performance is measured by key performance indicators: 1) closing a set number of cases each month, and 2) maintaining a client happiness score of 93% or higher based on client survey responses. Paralegals are expected to meet these KPIs by providing consistent communication to optimize the client’s experience as well as managing cases efficiently to minimize timeframes.

Paralegal Responsibilities and Duties:

  1. Manage own caseload of 60-75 pre-litigation personal injury cases.
  2. Communicate with clients at a minimum of every 28 days to obtain case information and provide status updates.
  3. Schedule attorney client calls.
  4. Respond to client inquiries within a 24–48-hour period.
  5. Interview clients to obtain accident details and information regarding their injuries, medical providers, prognosis, and lifestyle impact.
  6. Investigate liability, causation, damages, and at-fault party’s ability to pay.
  7. Determine all layers of available insurance coverage to maximize our client’s recovery.
  8. Assist client(s) with resolving property damage claims including arranging reservations for rental vehicles, removal of vehicles from tow yards/storage facilities, loss of use claims, total loss payouts, out of pocket expenses for damaged personal property, diminished value claims, and deductible reimbursement.
  9. Obtain health insurance information and documentation.
  10. Review documents including but not limited to police reports, witness statements, medical records, medical bills, and correspondence from insurance companies, health insurers, vendors, etc.
  11. Review incoming mail and determine next steps.
  12. Redact documents to maintain client privacy.
  13. Maintain up to date records and notes in case management software.
  14. Provide regular case status updates to attorneys.
  15. Communicate with various parties including insurance adjusters, medical providers, and health insurance analysts regarding a client’s claim.
  16. Calendar and monitor important dates including statute of limitations and internal and external deadlines.
  17. Determine medical records and bills that need to be requested from providers.
  18. Ensure receipt of all requested records and bills.
  19. Review, finalize, and send demand packages to insurance companies.
  20. Obtain subrogation information from government and private health insurers.
  21. Verify accuracy of balance information collected from medical providers and review health insurance lien itemizations.
  22. Prepare disbursement statements itemizing client’s settlement funds, balances owed, attorney’s fees, and client’s net recovery.
  23. Manage workflow and delegation of tasks cross departmentally.

Preferred Skills and Qualifications:

  • 2-3+ years of paralegal experience handling pre-litigation personal injury cases involving motor vehicle accidents.
  • Highly proficient in time management.
  • Able to monitor and meet deadlines.
  • Able to minimize distractions and maintain focus.
  • Able to work independently and collaborate with other paralegals.
  • Proven ability to multi-task.
  • Strong attention to detail.
  • Proven ability to prioritize conflicting tasks and deadlines.
  • High levels of adaptability.
  • Excellent communication skills – both verbal and written.
  • Able to handle a personal injury file from intake to settlement (without litigation).
  • Able to prepare disbursement sheets and familiarity with lien issues and balance verification practices.
  • Able to handle property damage claims.
  • Able to draft summaries of medical records, draft demand letters, and prepare settlement forms.
  • Notary Public, preferred by not necessary.
  • Prior use of case management software (Needles and/or Filevine preferred but not necessary).
  • Prior experience as a legal assistant, customer service representative, or administrative support staff helpful but not required.
  • Able to maintain consistent work schedule of eight hours per day Monday through Friday between 7 am and 6 pm (40 total hours per week).
  • Able to use a computerized time clock to track work hours.
  • Able to sit for long periods while completing computer activities.
  • Able to travel to Husband & Wife Law Team office on Ray Rd./I-10 in Phoenix, Arizona for necessary meetings and monthly firm events.

Work Location: One location - in office for training and then can be full time remote or on a hybrid schedule or full time in office.
