Job Description

Position Overview:

The Policy Administrator performs a variety of duties associated with the underwriting, policy development and maintenance of adequate files and databases for policy purchasers of the Affordable Housing Risk Pool (AHRP). The job requires working in a team environment, frequently under tight deadlines, necessitating the ability to prioritize work to be accomplished while investigating and resolving incomplete or inaccurate information. The position is responsible for processing all new quote requests/submissions through the underwriting process, reinsurance coordination, and policy issuance, while maintaining the highest level of customer service. This position is linked to several other essential functions in the office and is a vital component in assuring speed and accuracy of renewal issuance, which requires a high level of organization and documentation of critical information.

Organization Characteristics:

Synchrous, as the parent entity and employer, provides governmental members a cooperative program of indemnification and financial protection against property and casualty risks of loss relating to the properties and operations of the members, additionally providing a cooperative program of risk management. AHRP provides property and casualty self-insurance coverages for tax credit and nonprofit affordable housing providers. ORWACA is a licensed insurance agency providing ancillary coverage not provided by HARRP or AHRP. This positions cost is reimbursed under a management support services agreement with HARRP, AHRP and ORWACA.

Working Environment:

The position incumbent will primarily work remotely and be required to show up for meetings in person, when needed. They must also agree to follow the Remote Work Policy that outlines what conditions they need to meet to work completely remotely. THIS POSITION IS ONLY AVAILABLE TO APPLICANTS THAT RESIDE IN THE GEOGRAPHIC REGIONS OF OPERATIONS. THIS POSITION IS ONLY OPEN TO APPLICANTS WHO RESIDE IN WA, OR, CA OR NV, per Remote Work Policy. 

Qualifications:

1.   Education:  High School Diploma or G.E.D;

  1. Experience:  Three years administrative support experience in a computerized office, plus some computer support responsibilities; or any acceptable combination of education and experience that would likely provide the required knowledge and abilities
  2. Equipment used:  Telephone, calculator, keyboard, digital copier, computers, MS Office Suite, accounting software and proprietary risk management information system (RMIS)
  3. Certifications or licenses:  A valid Motor Vehicle Operator's License and proof of insurability

5.   Basic working understanding of the organization's programs, policies, and terminology

6.   Good working knowledge of English composition, spelling, punctuation and basic knowledge of mathematics

7.   Generally courteous and tactful manner and the ability to work effectively within a small, fast-paced service-oriented environment

8.   Ability to work effectively with frequent interruptions

9.   Ability to communicate effectively in writing and orally with employees and members

10. Ability to work remotely under minimal supervision

Essential Job Functions:

Physical: 

There will be long periods of sitting, standing and keyboarding.  This includes extensive time on the telephone providing services to policyholders. Adverse physical effort is minimal.  The incumbent must be capable of accurately reading columns of data, operating a keyboard and other office equipment referenced in job qualifications.

Mental:   

The incumbent must be capable of working closely and cooperatively with other people, both within and outside the organization.  Accurate and timely assembly and completion of a wide range of member renewal related tasks is required.  The ability to identify, design, and correct procedures to prevent inaccuracies is essential.

Job Duty Outline:

1.   Process critical underwriting documentation for annual renewals for AHRP policy purchasers

2.   Maintains critical databases regarding risk inventories, to include making mid-term policy endorsements

3.    Process and coordinate certificates of insurance and additional insured endorsements

4.    Provide customer service regarding general inquires and/or issues

5.    Provide training, when requested or required

6.    Provide support for RMIS, including maintenance, troubleshooting and development

7.    Assure proper documentation and all necessary requirements have been fulfilled for issuance of renewals

8.    Counsel members regarding required and non-mandatory (but prudent) insurance coverage that is available

9.    Pull reports out of accounting software regularly in order to track past due invoices and ensure timely payment

10. Maintain documentation for future reference of the outcome of internal discussion in order to uphold consistency in the handling of                   various policy matters

Housing Authorities from the states of California, Nevada, Oregon, and Washington are eligible to apply. As a housing authority owned “insurance entity”, housing authorities can take advantage of HUD's bid waiver for becoming a HARRP covered entity.

HARRP provides self insured coverage for property, general liability, automobile liability, errors and omissions (including employment practices liability) and fidelity.
