Salary:

Primary Accountability:              
The Account Administrator assists in the day-to-day operations, functional tasks and workflows as part of a client service team, a group of Trust Officer & Wealth Advisors and a Financial Planner. The duties and functions of the Account Administrator are client-focused and essential to the team’s relationship management success.  Versatility and adaptability are key components of this position.

Major Duties:

  • Assist clients and Advisor(s) with client account management, including processing forms and applications for opening accounts, transferring assets, closing accounts, and completing necessary documentation for account establishment and on-going account management tasks.
  • Initiate and respond to electronic & postal written communications and phone calls with clients, other professionals, other financial services professionals, etc.
  • Assist Advisor(s) in business development and sales, which may include attending events and participating in community, civic or charitable organizations.
  • Assist Advisor(s) with setting client meetings, preparing for meetings, and maintaining regular communication with clients to share information, check-in, or respond to their inquiries and requests.
  • Assist Advisor(s) in estate and trust settlement and administration duties.
  • Monitor client account transactions and work in tandem with the Advisor(s) to verify accuracy.
  • Process and monitor transaction requests by clients working in collaboration with the Advisor(s) and the operations and investment teams.
  • Oversee the calculation and generation of periodic reports and statements and distribute appropriately, such as RMDs, IRA distributions, and income tax reporting.
  • Process regulatory account reviews, report any exceptions to the Officer, and complete follow up requirements.
  • Maintain prospect and client files, CRM database, and accounting software to keep current for sorting, reporting, scheduling, fee-tracking and marketing.
  • Collaboration with other Account Administrators and other internal partners to develop best practices, strategize, cross-train, develop new employees, and problem solve.
  • Other duties as necessary or assigned.

Qualifications:

  • Bachelor’s Degree in a related field is preferred.
  • Basic typing, computer and software skills are required.
  • Experience with Microsoft Office and spreadsheet preparation is preferred.
  • Prior experience in investment, banking, trust, legal or financial services is preferred.
  • Proven commitment to exceptional customer service.
  • Strong written and verbal communication and grammatical skills.
  • Ability to work both independently and in team settings to show flexibility and versatility.
  • Ability to manage a variety of tasks and prioritize individual workload responsibilities.
  • Ability to work with strict confidentiality requirements, as well as exercise good judgment in the preparation and distribution of confidential information.
  • An interest in pursuing continuing education opportunities, degrees, or certifications that will further expand knowledge for adding value in this role.


Physical Demands:

  • Ability to sit for extended periods of time; adjustable stand-up desks are available upon request.
  • Ability to read computer screens, mail, e-mail and talk on the phone.
  • Ability to unpack and move supplies up to twenty-five (25) pounds.
  • Ability to drive an automobile.
  • Ability to travel as directed by position requirements.

  • Interaction with internal and external customers.
