Job Summary: The role of the Administrative Services Specialist plays a crucial role in ensuring smooth functioning of all services offered to clients. This role is responsible for proactively monitoring and managing all areas of eligibility, generation of applicable notices, payment and claims processing and customer service.

Primary Duties and Responsibilities:

The duties listed below are some of the duties that may be assigned and may not include all responsibilities that the person in this role may be asked to perform. · Act as point of contact for customer service to clients and their employees.

· Flagging and requesting escalated support from internal and vendor teams when necessary.

· Collaborates regularly with the team to ensure efficiency, accuracy and compliance is maintained for daily operations.

· Supports objectives and initiatives developed by VP of Administrative Services to meet strategic company goals.

· Supports effective and compliant eligibility management by following established protocol for all types of enrollments including manual, SFTP and Data Exchange with vendors.

· Follows established protocol for processing claims in an accurate and timely manner which also consists of daily processing of bank NACHA files.

· Works collectively with all Broker Account Management teams and within the AS department to ensure timely and accurate enrollment processing for existing clients.

· Effective intake, monitor and processing of payments from clients for FSA related business as well as COBRA payments from individuals, including updating systems and applicable logs or systems used for recordkeeping.

· Resolve NSF/Return and IDV-OFAC inquiries flagged by vendors, collaborating with internal teams as necessary.

· Performs additional responsibilities and requests as requested.

Type and Scope of Supervisory Responsibilities:

· This position has no direct supervisory responsibilities.

Requirements:

Skills and Qualifications:

· Excellent verbal and written communication skills

· Experience in Microsoft Office

· Working knowledge of banking mechanisms associated with service offerings of department.

· Regulatory knowledge in benefit related regulations such as ERISA, Section 125 Plans, COBRA, HIPAA, ACA, etc.

· Experience in Benefit Administrative Systems such as Selerix, Employee Navigator, Web Health systems such as but not limited to Wex Health Cloud, COBRA, and Retiree Billing systems.

Work Experience Required for this Job:

· Prior work experience with employee benefits within a company or broker/agency setting.

· Third Party administrative experience such as but not limited to administering Section 125 plans and/or COBRA.

· Experience within payroll, accounting or banking background preferred.

Education Required for this Job:

· High School diploma or equivalent

· Ability to sit for and pass resident life, health, and accident insurance license within 60 days of hire, if not already obtained

· 5 years of customer service experience with increased responsibility

· Proficient in Excel

· Time Management Skills

· Understanding of Section 125, COBRA, FMLA, Payroll

· Preferred experience in vendor platforms such as or like Wex Health systems such as Wex Cloud, COBRA, and Retiree Billing systems.

· Preferred working knowledge of ERISA Plan Documents and non-ERISA Plan Overviews.

Attendance Requirements:

  • Daily attendance required in work environment during normal business working hours which are Monday through Friday 8:00 am to 5:00 pm
  • In-person and/or hybrid attendance occasionally required for company and/or team meetings or onsite visits to clients as required

· The Company reserves the right to require in-person attendance at the Company’s worksite at any time. The Company also reserves the right to make full-time attendance at the Company’s worksite an essential job function for this position if attendance becomes necessary to increase productivity, to develop teamwork, to conduct training, to better address customer needs, or to accomplish any other valid business goal. If full-time attendance requirements for this position change materially, the Company will provide thirty (30) days’ prior notice of the change.

Position Type/Expected Hours of Work:

· This is a full-time position. Days and hours of work are Monday through Friday, 8:00 a.m. to 5 p.m. for the employee’s work location. Occasional evening and weekend work may be required as job duties demand.

Travel:

· Travel is primarily local during the business day, although some out of area and overnight travel may be expected.

· Must have a valid driver’s license.

Mental Abilities Required for this Job:

· The ability to solve problems, make decisions, supervise others, interpret data, organize information, written and oral communication and read/write.
