Part-Time Office Administrator – Construction (Residential & Commercial GC)
Position Summary
We are seeking a highly organized, detail-oriented Office Administrator to support daily operations, ownership, and project coordination across both residential and commercial construction projects.
This is a part-time, in-office role that plays a critical function in maintaining organization across projects, financial tracking, compliance, and internal systems.
This position will also serve as direct administrative support to the owners, helping keep priorities, communications, and workflows aligned.
Key Responsibilities
Office & Administrative Support
  • Manage day-to-day office operations and administrative tasks
  • Maintain organized digital and physical filing systems
  • Utilize and maintain company proprietary software to track projects, documentation, and workflows
  • Ensure accuracy and consistency of data across internal systems
Owner & Executive Support
  • Provide direct administrative support to company owners
  • Manage calendars, scheduling, and priority coordination
  • Assist with reports, internal communications, and document preparation
  • Track tasks, follow-ups, and key deliverables
Construction Project Support (Residential & Commercial)
  • Assist Project Managers with documentation, scheduling, and coordination
  • Prepare and track contracts, change orders, subcontracts, and project documentation
  • Maintain accurate and up-to-date project records in company systems
  • Coordinate permits, inspections, and subcontractor onboarding/compliance
Accounting & Financial Support
  • Assist with invoicing, billing, and accounts payable/receivable
  • Track budgets, job costs, and financial data within internal systems
  • Support expense tracking and project financial organization
  • Coordinate with accounting/bookkeeping for accurate reporting
Insurance & Compliance Support
  • Track and maintain subcontractor insurance certificates (COIs)
  • Assist with builder’s risk, general liability, and commercial insurance documentation
  • Help ensure compliance across residential and commercial project requirements
  • Coordinate with insurance brokers and internal team as needed
  • Prior construction insurance experience preferred; willingness to learn required
Client & Trade Partner Communication
  • Serve as a point of contact for clients, subcontractors, and vendors
  • Coordinate meetings, selections, and project updates
  • Support communication to maintain project timelines
Scheduling & Coordination
  • Maintain calendars for owners and project activities
  • Schedule meetings, site visits, and inspections
  • Help ensure deadlines and deliverables are met
Qualifications
  • 2+ years of administrative experience (construction industry preferred)
  • Experience supporting residential and/or commercial construction projects is a plus
  • Experience with construction or proprietary software systems preferred
  • Familiarity with construction insurance (COIs, liability, builder’s risk) or willingness to learn
  • Strong organizational and multitasking abilities
  • Excellent communication and professionalism
  • Proficiency in QuickBooks, Excel, and Google Workspace preferred
