THE POSITION IN A NUTSHELL


SciensBuilding Solutionsseeks an Administrative Support Specialistto join its fun and rapidly growing team.We are looking for an energetic professional who doesn't mind wearing multiple hats.The role requires experience in handling a wide range of administrative and executive support-related tasks and someone who is able to work independently with little or no supervision.You should be well-organized, flexible and enjoy the administrative challenges of supporting an office of diverse people.

WHAT YOU'LL BE DOING (and doing well!)

  • Greet clients, visitors, and guests; determine the purpose of each person's visit and direct or escort them to the appropriate location.
  • Answer, screen, and direct phone calls to staff; take messages and schedule appointments.
  • Receive mail, documents, packages, and courier deliveries and deliver/distribute items.
  • Perform administrative and clerical support tasks, including but not limited to:
    • Scheduling monthly vehicle inspections with drivers.
    • Scheduling vehicle service by coordinating with department managers and vendors.
    • Tracking and managing vehicle registrations, vehicle mileage, and vehicle turnover.
    • Coordinating with department managers when deploying vehicles to new hires.
  • Perform basic filing and recordkeeping.
  • Order and maintain office supplies.
