Location: Lenexa, KS (Greater KC/MO Area)

What does Experitec's Administrator & Customer Service Specialist role look like?

The Administrator & Customer Service Specialist is a three-month temporary position with potential for permanent employment after the first three months based upon personal performance and company needs. As part of our Operations team, the Administrator & Customer Service Specialist is responsible for providing excellent service to both internal resources and external guests. This role will serve as the customer service subject matter expert, working closely with our Order Management, Shared Services, and Sales departments. Our customers are largely manufacturing facilities and Upstream Oil & Gas. We serve many different industries including chemical, power generation, refining, oil & gas, food & beverage, pulp & paper, and water.

What is the Administrator & Customer Service Specialist responsible for?

In this role, you will direct incoming calls, look up customer orders, enter orders and requests for quotes, and handle a wide range of administrative and executive support related tasks while being able to work independently with little or no supervision. You will learn about Experitec’s different business units, and the products and services we provide to our industrial customers. You will work with staff and customers at all levels in a fast-paced environment, sometimes under pressure, remaining personable, flexible, proactive, positive, resourceful and efficient, with a high level of professionalism. The prime objective of this role is to provide excellent service to ensure all customers have positive experiences with the Customer Service Team.

Typical work assignments include:

  • Interact with customers via telephone, email, online chat, or in person to provide support and information on products or services. 
  • Answer company phones in a courteous and professional manner and distribute calls in a timely manner.
  • Field requests for quotes and purchase orders and enter them into our business system for routing. 
  • Field customer questions and complaints; when the issue is beyond the representative’s knowledge, forwards to the assigned specialist or other appropriate staff. 
  • Ensure that appropriate actions are taken to resolve customer problems and concerns. 
  • Manage office supplies and replenish inventory including promotional items for all offices. 
  • Schedule conference rooms and coordinate in office meals for meetings. 
  • Mail invoices to customers. 
  • Communicate important employee announcements on internal website. 
  • Field requests for marketing materials (spec sheets, presentations, flyers, training manuals, line sheets, etc.).  
  • Facilitate Emerson customer training at Kansas City or local customer location.
  • Primary Security Monitoring of Front Entrance and Backup Security Monitor of Warehouse/Shipping & Receiving Door.
  • Recording shipping/receiving transactions in ERP system. Light lifting of packages.
  • Maintains customer accounts and records of customer interactions with details and inquiries, or comments.
  • Primary Contact for Building Issues and working with Property Manager, Repair Contractors, and Janitorial Service.
  • Retrieval and Distribution of Mail.
  • Assist in On-Boarding of New Employees.

  • Service-oriented and able to resolve customer grievances.
  • Knowledge of, or ability to learn, product, service, or area of customer service specialization.
  • Extensive knowledge of customer service procedures and principles.
  • Exceptional computer skills - proficiency in the Microsoft Office Suit and ability to work efficiently and effectively within a business system and learn new software.
  • Ability to thrive in a fast-paced and ever-changing environment.
  • Comfort/ability to work at a desk the majority of the day.
  • Previous experience with customer service, ERP system, and/or experience in an operations role.

Other basic qualifications include:

  • Associate or bachelor's degree or equivalent combination of work and education.
  • Proficient in Microsoft Office (Excel, Word, PowerPoint, etc.) and ability to work efficiently and effectively within a business system.
  • Effective communication and interpersonal skills.
  • Leadership ability.
  • Analytical and critical thinking.
