Key Job Functions:
As a Registrar Specialist, you will play a crucial role in managing the registration process within our organization. You will be responsible for maintaining accurate records of students, facilitating enrollment procedures, and ensuring compliance with regulatory requirements. The ideal candidate will possess exceptional organizational skills, attention to detail, and a customer-centric approach to support students and staff.
Duties and Responsibilities:
  • Student Records Management: Maintain comprehensive and accurate student records, including personal information, academic history, and enrollment status.
  • Admission Processing: Process student registrations, withdrawals, and course changes efficiently and accurately using the organization's registration system.
  • Student Support: Provide exceptional customer service to students by assisting with inquiries related to registration procedures, course offerings, and academic policies.
  • Documentation and Reporting: Prepare and distribute registration-related documentation, including schedules, transcripts, and enrollment reports. Generate statistical reports such as class demographics as needed for internal and external stakeholders.
  • Academic Records Maintenance: Maintain accurate and up-to-date student records, including personal information, academic transcripts, attendance records, and program progress. Ensure compliance with state and federal regulations governing student records management and confidentiality.
  • Grade Processing: Oversee the processing of grades, including entering grades into the student information system, calculating grade point averages (GPAs), and issuing academic transcripts. Work closely with faculty to resolve grading discrepancies and ensure accuracy in student records.
  • Degree Audit and Certification: Conduct degree audits to verify students' completion of program requirements and eligibility for graduation. Prepare and issue diplomas, certificates, and other credentials to students upon successful completion of their programs.
  • Compliance: Ensure student records and enrollment processes comply with institutional policies, as well as applicable state and federal regulations.
  • Communication: Communicate registration deadlines and procedures to students and staff, in order to coordinate registration activities and resolve issues in a timely manner.
  • Technology Utilization: Utilize registration software and other technology tools proficiently to perform tasks related to student registration, data management, and reporting.
  • Training and Development: Assist in training new staff members on registration procedures and provide ongoing support and guidance to colleagues as needed.
  • Process Improvement: Identify opportunities for process improvement within the registration function and collaborate with relevant stakeholders to implement solutions.
  • Confidentiality: Maintain the confidentiality and security of student records in accordance with institutional policies and applicable privacy laws.
All other duties as assigned. 

Qualifications & Work Experience:                                               
To perform this job successfully, the candidate must be able to perform each essential duty satisfactorily (with or without an accommodation). The requirements listed below are representative of the knowledge, skill, and/or ability required.
  • Bachelor's degree in education, business administration, or related field preferred or any equivalent combination of education and experience.
  • Experience in higher education administration, with a significant portion of that time spent in registrar's offices or in roles closely related to student records management, academic advising, or enrollment services (Preferred).
  • Previous experience in a registrar's office or similar administrative role within an educational institution is advantageous.
  • Proficiency in using registration software and Microsoft Office Suite (Word, Excel, Outlook).
  • Strong organizational skills with the ability to prioritize tasks and meet deadlines in a fast-paced environment.
  • Excellent communication skills, both verbal and written, with a customer service-oriented approach.
  • Attention to detail and accuracy in data entry and record-keeping.
  • Ability to work collaboratively with diverse stakeholders, including students, faculty, and staff.
  • Knowledge of relevant regulatory requirements and best practices in student records management and enrollment processes.

Required Skills/Abilities:                                                                 
  • Excellent verbal and written communication skills.
  • Strong working ability of Microsoft Office products (Excel, Word, PowerPoint, etc.)
  • Superior organizational skills including attention to detail and time management.
  • Ability to establish and nurture collaborative relationships at all levels, and identify needs and deliver solutions that achieve employee, team, and school goals and satisfaction.
  • Ownership & Drive— ability to work in a fast-paced environment with strong follow-through and a focus on owning the outcome.

Important Notes        
                                                                         

Position Details: This is a full-time hourly (non-exempt)  position (40+ hours/week).

Pay: This pay does not include any opportunity for incentive compensation and is only reflective of the base pay for this position.

The range of pay for this California-based position is $26.50-$30.50 per hour.

Benefits and Perks: Workshops for Warriors makes available comprehensive benefits the first of the month following the 30-days of employment. Options include Medical (50% employer contribution), dental and vision coverage (100% employer contribution), a 401k program with employer match, 8 paid holidays, Flexible work hours (position dependent), and paid time off.

Dress code: Our office staff works in a business casual or relaxed business casual environment.

Supervisory: No supervisory responsibilities.

Physical Requirements: The physical demands described here are representative of those that must be met by an employee to successfully perform the essential functions of this job. While performing the duties of this job, the employee is regularly required to talk or hear.
The employee frequently is required to stand; sit; walk; use hands to finger, handle or feel; and reach with hands and arms. The employee is regularly required to push, move, lift or otherwise bear 10-30lbs.  Applications may include but are not limited to repetitive work using a computer keyboard, mouse and headphones while sitting and/or standing at an assigned work desk area.

Work Environment: The employee works in an office/administration building in an urban industrial neighborhood. Other areas within the school are mixed use such as classrooms, welding and machining areas.
Employee may have additional environmental hazards such as: chemical, electrical, flammable, or mechanical in nature.
