Job Description

The Administrative Sales Support Coordinator position will support the TrueChoice Sales and Service team. They will be responsible for managing the sales proposal process and ensuring that the administrative and support functions operate smoothly, as well as work within the administration team to assist with office needs. The person hired for this position will work hand in hand with the Level-Funded sales team and will help maintain company culture and comradery within the team. This position will require initiative, good judgement, independent decision making, and proactive thinking. The Administrative Sales Support Coordinator must have the ability to work independently on projects, from conception to completion, and must be able to work under pressure at times to handle a wide variety of activities and confidential matters with discretion.

Roles & Responsibilities

  • Completes a broad variety of administrative tasks for the Level-Funded team, including managing calendars and scheduling of appointments for President of TrueChoice; completing expense reports; composing and preparing correspondence that is sometimes confidential; arranging complex and detailed travel plans, itineraries, and agendas; and compiling documents for travel-related meetings.
  • Provides a bridge for smooth communication between the Level-Funded executives and internal departments; demonstrating leadership to maintain credibility, trust and support with senior management staff.
  • Assists the sales team, focusing mostly on the distribution of sales documents and assisting in the sales proposal process.

Key Performance Indicators (KPI’s)

  1. Time Management & Efficiency: Effectively use time management skills to prioritize high-priority tasks, reduce time on non-essential activities, ability to meet tight deadlines, and utilize resources that are available.
  2. RFP Process for Level Funded: Reduce the number of days required to process an RFP request, track the number of days an RFP is with the underwriters, reviewing numbers in proposals, cost summaries, etc.
  3. Continued Development of Reporting for Level Funded Goals/Results: Provide weekly reports reflecting TrueChoice activity, goals, and results.
  4. Increase Support on Sold Cases: Work closely with Sales and Implementation teams to ensure all proposed rates, guarantees, etc., are applied and contracts are accurate according to the agreement(s) made with new clients.
  5. Technology & Software Proficiency: Successful understanding and use of software such as Salesforce, ZoomInfo, Paycom, Concur, etc. to reduce user errors and improve workflow efficiency.

Qualification Requirements

The ideal candidate will have a College Degree and 2+ years of experience in a similar administrative position.  Desired skills include:

  • Proficiency in MS Office, Excel, Word, Power Point. 
  • Strong organizational/time management skills and logical thought process
  • Strong verbal and written communication/interpersonal skills
  • Strong attention to detail and comfortable working with numbers.
  • Ability to effectively coordinate several projects simultaneously
  • Excellent work ethic
  • Demonstrated proactive approaches to problem-solving with strong decision-making capability
  • Emotional maturity and professional demeanor
  • Highly resourceful team-player, with the ability to also be extremely effective independently
