Job description

As a key point of contact for customers and internal staff, you will handle inquiries, manage communications, and support daily operations to ensure a smooth workflow. Responsibilities
  • Respond to customer inquiries by providing basic information, resending contracts or invoices, receiving payments, and scheduling appointments or entering new leads.
  • Operate a multi-line phone system, screen and transfer incoming calls and voicemails, return voicemails promptly, and take accurate notes as needed.
  • Monitor and respond to incoming texts and emails, including after-hours checks for urgent scheduling changes, especially during inclement weather.
  • Book and confirm appointments, update service dates, process skips or cancellations, and manage scheduling queues.
  • Enter new leads and maintain accurate records in the company’s management system.
  • Assign and track tasks, log customer complaints or issues, and file necessary documentation.
  • Receive payments and assist with collections calls as needed.
  • Generate and resend invoices to customers as required.
