Job Description:

Join Job Duck as an Executive Assistant with a Graphic Design background, where you'll play a pivotal role in supporting executive operations while contributing to impactful visual communications. This position is ideal for a proactive professional who thrives in a fast paced environment, takes ownership of projects, and consistently drives initiatives through completion. You'll manage high level administrative responsibilities, coordinate events and travel arrangements, and support brand consistency across a variety of creative projects. Success in this role requires strong judgment, exceptional communication skills, resourcefulness, and the ability to anticipate needs while delivering solutions. Monthly compensation range: 1060 USD- 1150 USD

Responsibilities include, but are not limited to:

  • Track deliverables and follow up with internal and external stakeholders to ensure timely task completion
  • Coordinate and oversee calendar management, scheduling, and appointment booking
  • Manage executive email communications and maintain an organized inbox
  • Collaborating with the Chief of Staff to align priorities
  • Following up with team members to ensure task completion
  • Leading projects from start to finish with minimal supervision
  • Booking travel, events, and coordinating logistics including meals and venues
  • Scheduling appointments and resolving conflicts proactively

  • Communicate professionally with government officials, media contacts, vendors, and business partners

  • Review and deconflict executive calendar commitments to maximize efficiency
  • Utilize AI tools to improve efficiency, productivity, and workflow management

  • Managing email and calendar with accuracy and foresight
  • Support magazine production activities, including theme development, article coordination, design support, and print coordination

  • Prepare, organize, and maintain executive documentation and communications

  • Lead assigned projects from initiation through successful completion

  • Develop office communications, event collateral, and creative mockups as needed
  • Create and update visual materials while ensuring brand consistency across all outputs

Requirements:

2- 3 years of experience supporting executives, senior leadership, or high profile professionals

Background in graphic design with the ability to maintain brand consistency across visual materials

Experience coordinating projects from concept through completion

Comfortable communicating with government officials, media representatives, and external stakeholders

Proficiency with AI tools to improve productivity and workflow efficiency

Strong organizational and project management skills

Ability to manage multiple priorities while maintaining attention to detail

Familiarity with design, publication, and production workflows is highly valued

Proficiency with Microsoft Office Suite, Google Workspace, calendar management platforms, virtual meeting tools, graphic design software, and AI-powered productivity tools
