Job Description

Position Summary:

Financial advisor seeking full or part-time administrative specialist and operations coordinator to aid in the operations and continued growth of a financial services practice.

Responsibilities:

  • Assist in the management of operations in tandem with leadership
  • Assist in the organization and creation of systems for day-to-day operations
  • Facilitate meeting reservations and reminders
  • Prepare client case notes
  • Email meeting recaps
  • Coordinate detailed filing systems and maintain client records and database
  • Manage day-to-day calendar
  • Schedule meetings
  • Monitor daily email
  • General copying and filing
  • Assist with pre-meeting packets, reports, forms, etc.
  • Facilitate and monitor correspondence
  • Delegate customer service for Advisor’s clients
  • Coordinate holiday gifts and cards
  • Tracking and monitoring new business and account/policy services
  • Maintain a neat and orderly workspace
  • Many miscellaneous tasks

Qualifications:

  1. Superior attention to detail and top tier organizational skills
  2. Sense of urgency and well-developed time management systems  
  3. Compliance with all operating policies and procedures
  4. Previous experience with Microsoft Office Suite to specifically include Outlook, Excel, Power Point, ACT
  5. Strong interpersonal skills, commitment to a collegial work style and mutual accountability
  6. Experience with CRM software preferred
  7. Understanding and commitment to a business professional workplace environment
  8. Self-motivation and adaptable
  9. Ability to manage time to accommodate priorities of fast-paced Advisor
  10. Some college, 4-year degree preferred
  11. Excellent communication skills, strong written and verbal
  12. Positive attitude
  13. Must be a critical thinker and problem solver
  14. Sense of humor
