$22 - $25 per hour depending on experience
Job Overview
The primary responsibility of the Office & Accounting Assistant is to complete the day-to-day tasks of the Business Office and its staff to ensure back office operations run smoothly. The Office & Accounting Assistant will complete various tasks involving inventory, accounting, office maintenance, document filing, scheduling, and other business operational tasks. The Office & Accounting Assistant will also work on various tasks as assigned by The Owners. High attention to detail and ability to produce high-quality results is a must.
Responsibilities and Duties
HUMAN RESOURCES SUPPORT
- Staff Scheduling
- Support on the company announcements feature on BambooHR to communicate important information to the employees.
ACCOUNTING SUPPORT
- Terra Tile sales orders and bills of lading
- Manage Donations
- Ordering supplies for office and store
- Daily settlement of the safe
- Accounts Payable postings
- Accounts Receivable customer support
- Manage office documents and filing
- Review and distribute daily mail to the correct department
- Inventory processing (in-store)
- Receiving processing (in-store)
OPERATIONS
- Support general office maintenance tasks (maintain paper and digital filing system, order office supplies and update order list, maintain and update the login sheet for various login information needed to perform office functions)
- Support and maintain a schedule for various recurring tasks such as; keeping an up-to-date record of Certificate of Insurance of vendors, making sure all permits are up to date, and ensuring all inspections are completed on quarterly/yearly basis as required by the state.
OTHER SUPPORT
- Assisting The Owners with business and personal related tasks.
- Perform other tasks as needed.
Minimum Requirements

- Education/Training: High School degree; College degree and/or additional qualification as an office assistant is a plus.
- Experience: Proven experience as an Accounting Clerk or Office Assistant
- Ability to learn and utilize the store inventory and accounting programs with high proficiency
- High proficiency in MS Word and MS Excel is a must:
- Must be able to set up excel spreadsheets with at least the following basic skills such as, adding columns and rows, linking spreadsheets, and creating worksheets with individual spreadsheets.
- Strong skills in time management, organizational management and typing.
- Solid team player with excellent interpersonal skills
- Punctual with excellent attendance
- Ability to uphold strict confidentiality in dealing with sensitive information, including personnel matters, legal documents, financial data and other proprietary information
- Ability to take directions and ask questions when needed
- Ability to multi-task and manage workflow
- Excellent communication skills, exceptional organizational ability, high attention to detail, and ability to multitask
