This is an in-office position located at the WoodmenLife Tower in Downtown Omaha.
We are currently searching for an Accounting Project Specialist to join our Fraternal team. This role delivers comprehensive operational oversight and project coordination within Fraternal Administration, supporting the full lifecycle of chapter governance, financial compliance, and member alignment activities. The position partners cross-functionally with Accounting, Legal, Tax, and Business Technology to execute complex processes, drive system improvements, and ensure data integrity. Additionally, the role contributes to strategic initiatives by advancing workflow automation, process optimization, and scalable operational solutions aligned with organizational objectives.

We are looking for someone to:
  • Research, coordinate, and complete projects assigned.
  • Review and edit postcards and other marketing items at the Chapter Level related to updates, meetings, and activities in support of the Community Outreach Advisors.
  • Prepare routine correspondences including bank letters and reports as needed for Community Outreach Advisors and Home Office Associates.
  • Maintain record of chapter inventory and activity statuses while processing mergers, officer rosters, officer term extensions, sale of properties, and financials.
  • Prepare and process Chapter Mergers in accordance with Fraternal procedural documents including membership reassignment
  • Review, approve, and process Chapter officer changes. Make sure changes remain in compliance with Constitutional laws.
  • Review, analyze, and compile annual/periodic financial information for audits. Verify accuracy and completeness. Perform appropriate follow-up to investigate and resolve missing reports and inaccuracies.
  • Work closely with Tax & Compliance, Accounting, Legal and other departments to ensure proper documentation has been received to process chapter sales, mergers, tax returns, and other items as necessary.
  • Assist in planning, developing, writing, and maintaining procedural documents, instructions, and functional specifications for new or modified processes.
  • Identifying gaps and make recommendations for improvements.
  • Meets expectations for attendance and punctuality in accordance with the expectations established by your supervisor and WoodmenLife policy.
  • Performs other duties as assigned by management
  • Assist management with upcoming initiatives including the buildout of robust workflow automation systems
  • Facilitate recurring strategic meetings with the Application Services team to clarify, and oversee project progress
  • Collect and prepare documentation for chapter property sales for Legal, Risk Management, and Mortgage Department.
  • Process and fulfill chapter supply orders and manage Chapter Award requests, including customization and distribution
  • Validate organization wide deployment maintenance testing to ensure system integrity and end-user functionality across the Member Management System and My Fraternal Web, serving as one of the two trained resources for execution of this function for Fraternal
  • Monitor chapter debt and support collection activities as needed
  • Process daily membership chapter reassignments and new policy chapter assignments for sales representatives to ensure positive customer experience in compliance with WoodmenLife's equal access policy
  • Process Common Bond payments and ensure timely crediting for completed projects
  • Work with FNBO resolving signer issues and fielding banking questions.
  • Run project reports for National Community Focus. Upload to member website monthly
  • Provide feedback and create Business Technology tickets for system upgrades
  • Facilitates annual refresher training for Community Outreach Advisors on cloud-based process automation systems and digital form workflows

Essential Job Skills
  • Bachelor's degree preferred or equivalent experience.
  • Experience with project management or accounting is strongly preferred.
  • Experience working with cloud-based workflow software
  • Knowledge of budgeting, audits, and reconciliation preferred.
  • Knowledge of the insurance/financial/accounting services industry preferred.
  • Experience with Microsoft Office products. Strong emphasis on Microsoft Excel.
  • Problem solving and analytical skills required.
  • Strong interpersonal, verbal and written communication skills required.
  • Ability to manage multiple project assignments, deadlines and changing priorities in a team environment.
  • Ability to define problems, collect data, establish facts and draw valid conclusion with minimal supervision.
  • Ability to maintain a high level of confidentiality.
  • Must be able to work independently with minimal intervention from the manager.
  • Ability to exhibit negotiation, facilitation, and implementation of change skills.
  • The ability to provide seamless, trustworthy, attentive and resourceful (S.T.A.R.) customer service.
  • Ability to work in the home office (some remote work may be considered).
  • Engages well with others and are passionate about collaboration in a team environment.
