The Assistant Registrar is responsible for communication with the internal community and external agencies regarding student records and enrollment reporting. Functions as the primary contact for the Information Technology staff with regards to Ellucian/Colleague, technology training and procedural documentation within the unit. Oversees a variety of database-related tasks and office procedures/functions.


Essential functions include but are not limited to:

  1. Supports activities in the Registrar’s Office to include:
    1. Registration and student record updates
    2. Revise and update student check sheets
    3. Perform waiver reviews
    4. Perform off-campus study reviews
    5. Serves as the IT contact
  2. Manages the enrollment of NDMU special student populations; Dual High School Enrollment, Continuing Education, etc.
  3. Manages the submission of enrollment data, enrollment changes and last date of attendance.
  4. Supports articulation for all transfer credits.
  5. Documents policies and procedures and offers training for functions of the Registrar’s Office.
  6. Enforces the academic policies of the University, including adherence to FERPA guidelines, with accuracy, timeliness, and student-centered professionalism.
  7. As steward of student records, creates, safeguards, and preserves academic records.
  8. Ensures adherence to policy and regulatory requirements.
  9. Serves on University committees as assigned.
  10. Performs such similar, comparable or related duties as may be assigned or required.

Qualifications:

  • Knowledge: Bachelor’s degree required.
  • Experience: Minimum of three to five years of experience in a comprehensive registrar’s office or closely related academic services area. Experience with integrated student databases (Ellucian knowledge preferred) and the ability to harness technology to improve service delivery. Familiarity with undergraduate, graduate, online, and professional degree programs. Familiarity with AACRAO, NASFA and FERPA policies and guidelines.
  • Skills/Aptitude: Strong collaboration skills, with the ability to keep both the strategic picture and operational details at the forefront. Strong skills in organization, communication, and problem-solving with the ability to evaluate and assess policies and systems and to co-facilitate change processes. Evidence of highly developed analytical, technical, and communication abilities. Strong belief in student-focused processes and procedures, along with a commitment to outstanding service. Understanding of small college work environment. Knowledge of computer and emerging technology a plus.
  • Working Conditions: Normal office environment. Required to work some events that could fall outside of normal business hours.
