This is full-time onsite Monday to Friday 9am to 6pm in Aventura, FL - No remote options


Responsibilities:

  • Sending hourly report to executives for Growth Con/Boot Camp ticket sales
  • Manage event logistics
  • Update Event Reports on a monthly/weekly/daily basis, as progress and commitments are made.
  • Determine weekly meeting schedule and meeting recaps
  • Communicate with clients and partners in a professional manner and take detailed minutes during event meetings (in person and/or via conference call)
  • Perform event registration maintenance in MeetingPlay software, including responding to attendee’s questions, making registration changes, updating pricing, and providing updates to team members and clients
  • Ordering and gathering all event supplies
  • Set registration rules/parameters (early bird rates and dates, etc.) based on experience and past year’s registration data analysis
  • Proper bookkeeping for all events
  • Provide post event debrief to executives
  • Actively use company systems to manage projects, i.e. Google Docs, Excel, Shopify, Chargify, Thinkific, Clickfunnels and MeetingPlay
  • Help create marketing materials for all events (emails, social posts, videos, production, etc)
  • Coordinate with Marketing and PR departments to promote and publicize events on company websites and social media platforms
  • Write/review email blasts with event details and new deals
  • Ensure event websites are up-to-date and have correct information (dates, pricing, etc)
  • Create RFPs (request for proposal) for potential hotels/venue spaces for event
  • Conduct market research, gather information and negotiate contracts prior to closing deals
  • Reserve a location for event
  • Assist with menu selection estimates and guarantees
  • Coordinate outside vendors (i.e. AV or Production companies)
  • Design emergency contingency plans and contact sheet
  • Ensure compliance with insurance, legal, health and safety obligations
  • Connect with potential partners to expand market reach
  • Confirm sponsors and sponsorship packages are fully paid and are being executed

Requirements:

  • Bachelor's degree in Business, Communications, Public Relations, Advertising, Marketing or related field preferred
  • 3-5 years of event planning experience
  • Must be able to stand and walk for long periods of time through events duration.
  • Must be able to lift up to 25 pounds
  • Must be able to work a variety of hours in order to accommodate events.
  • It may from time to time call for physically strenuous activity due to the setup and breakdown of events.
  • Some travel required
  • Capable of working well with internal and external teams/partners
  • Ability to work under pressure with strict deadlines in a fast-paced, changing environment while maintaining a professional and positive attitude
  • Ability to effectively solve problems, think creatively, make decisions and take action while exercising independent judgment
  • Strong project management, customer service and relationship building skills
  • Strong written and verbal communication
  • Ability to deliver clear and concise information that is tailored to specific audiences
  • Excellent time management and organizational skills
