General Duties and Responsibilities

  • Oversee and control daily tasks when on duty.
  • Supervise all agents and develop them in order to handle reservation tasks properly.
  • Assist Reservation Manager to operate the department.
  • Handles all group tours/ conventions from the initial blockage to the rooming lists.
  • Records all reservations neatly and accurately on prescribed forms.
  • Files neatly all updated correspondence chronologically, first and then alphabetically.
  • Handles the telex machine in sending outgoing reservations telexes.
  • Handles all advance deposits received by crediting the amounts into the correct guest’s folios and issuing receipts to the senders.
  • Check incoming letters, telexes and faxes than distribute to whom it may concerned within the Reservation Department.
  • Confirms reservations for rooms according to the room's availability issued by the Reservations Manager accords the rates that are currently in effect and arranges the billing according to hotel procedures.
  • Records all reservations neatly and accurately on prescribed forms.
  • Updates the computer immediately and accurately if there’s any changes.
  • Sends out confirmation slip promptly if requested.
  • Handles any request for amenities or transportation promptly and accurately.
  • Update guest history records, travel agency/company records and account receivable records on a regular basis.
  • Handles the reservation correspondence accurately and neatly.
  • Promptly prepare any Reservation report.
  • Check any no-show and cancellation report with the correspondence and keep the record in the file.
  • Coordinate with the travel agent and update the room allotment.

  • Experience and Requirements
  • Minimum 3 years of experience as Reservation Agent at a reputed hotel/luxury brand preferred.
  • Must possess strong computer proficiency to include MS Office, Word, Excel, PowerPoint, Opera, Micros, Booker, HotSOS, Salesforce, etc.
  • Must be able to speak, read, write and understand the primary language(s) used in the workplace.
  • Requires good communication skills, both verbal and written.
  • Ability to be persuasive with telephone sales skills.
  • Understand hotel’s selling strategies for guestrooms, spa and restaurants.
  • General knowledge of city and its attractions.
  • Must be available to work flexible work schedule to include, evenings, weekends and Holidays.
  • Talking and hearing occur continuously in the process of communicating with guests and team members.
