Jackson & Blanc is Southern California's pre-eminent mechanical systems specialist, serving the Commercial, Industrial and Institutional markets. As a Project Coordinator, you'll provide project support to the Project Manager and/or team to facilitate the planning, coordinating, scheduling, implementing and cost accounting of a variety of commercial construction project types. The ideal candidate demonstrates a thorough knowledge of construction terminology and processes, initiate and manage standard tasks with little or no supervision. As a Project Coordinator, you'll build and maintain relationships with General Contractors, Designers/consultants, Vendors and Subcontractors and promote Jackson & Blanc's core values.

Essential Duties and Responsibilities:

  • Support the project team, consisting of any combination of the project executive, project managers, superintendents, project foreman, designers, subcontractors, and accounting administrators with day-to-day operations of a project including, but not limited to, project direction, planning, completion, and financial outcome
  • Solve practical problems and deal with a variety of instructions furnished in written, oral, diagram or schedule form
  • Effectively present information and respond to questions from colleagues, customers, general contractors, subcontractors, consultants, and vendors
  • Prioritize and plan work activities, develop realistic action plans, maintain workflow and procedures
  • Utilize integrated software systems to process and track subcontracts, purchase orders, change orders, drawings, RFI’s, submittals, invoices, and safety/insurance certificates
  • Create and maintain project documents within predominately paperless office environment utilizing integrated software systems and network server file system
  • Assist with the pre-construction efforts, as necessary. Maintaining preconstruction/BIM schedules to keep them on track.
  • Prepare trade contracts, vendor purchase orders and assist with procurement process
  • Create and maintain updated equipment, submittal, and RFI logs
  • Oversee shop drawing, submittal and construction drawing approvals, documentation, and coordination
  • Maintain a current set of drawings and specifications at all times, clearly making these documents available to the project team, internally & externally
  • Compose and/or edit communications (letters, memos, reports, procedures, etc.) as required by Project Manager/Project Staff
  • General administrative duties, such as calendaring, correspondence, scanning, copying, data entry, supply requisitions, delivery coordination, etc.
  • Act as liaison between project manager/project staff and others, such as external contacts, customers, etc. Arranges and participates in internal project meetings in coordination with project team
  • Quickly responds to any job-specific accounting questions or issues
  • Manage the project closeout process including punchlist data entry; collecting and distributing of Operation & Maintenance manuals, warranties and Record Drawings, as required
  • Constant prioritization of workload is necessary to meet project goals
  • As necessary, attend weekly meetings, generate minutes and distribute, as necessary

Knowledge, Skills and Abilities (KSAs):

  • Ability to collaborate and contribute within a team structure is required
  • Demonstrates self-motivation to accurately and efficiently complete all aspects of the project with minimal supervision.
  • Strong verbal, written and analytical skills required, very strong organizational skills and a good mathematical aptitude necessary
  • Previous administrative experience and/or construction industry experience preferred
  • Strong knowledge of Microsoft Word, Excel, Outlook, Project and PowerPoint
  • Ability to learn industry specific software programs including, but not limited to, Procore, DocuSign, COINS, Bluebeam, Touch plan, Box, Microsoft teams/zoom/WebEx

Background Experiences:

  • Minimum of a bachelors degree or 4 year’s equivalent work experience.
  • Prior education and/or working experience in construction is ideal

Working Conditions:

  • Standard office environment: jobsite assignments (e.g. office in a job trailer) may be required.
