Job Title: Office Manager (In Office)

Salary: Depending on experience, $70,000 – $85,000 annually

 

ABCO Mechanical Contractors, Inc. seeks a passionate and dedicated Office Manager to join our professional team full-time, Monday through Friday, from 7:30 a.m. to 4:00 p.m.

ABCO Mechanical Contractors, Inc. is an old-line San Francisco-based HVAC company established in 1932. Our company specializes in installing and repairing commercial heating, air-conditioning, ventilation, boilers, and refrigeration systems. Our company has a long list of high-end customers who expect the best possible service and installation of HVAC and boiler systems.

Though we are considered a small company with approximately ten to fifteen employees, we are experiencing rapid growth, and our company is looking for an experienced office manager who can handle the company's day-to-day activities. We are looking for an individual who is a team player, has excellent communication skills, is detail-oriented, and is proficient in Word, Excel, and QuickBooks On-Line software.

This in-office position is vital for upholding the efficiency and organization of our daily operations in the HVAC and mechanical contracting industry.

Compensation:

Becoming ABCO Mechanical Contractor’s full-time Office Manager means earning competitive compensation ranging from $70,000 – $85,000 annually, depending on your skills and experience. Our company offers medical, vacation time, and a profit-sharing plan after one year of employment.

 

Position Overview:

As our office manager, you will report directly to the company's President. You will assist in dispatching the technicians, handle phone communications, and be responsible for exceptional customer service and email correspondence. You will work with your office assistant on the proper coding of sales invoices and vendor invoices. You will be directly responsible for entering correct information into QuickBooks On-Line software. You will be responsible for reporting payroll and preparing reports for the CPA firm.

 

Salary and Benefits:

  • The salary for this position ranges from $70,000 to $85,000 per year, including payroll taxes, benefits, and potential bonuses

  • Salary depending on experience and qualifications.

Qualifications

  • A minimum of five years of office management experience.

  • High School and some college experience required.

  • Familiarity with the HVAC and mechanical contracting industry or construction-related administrative experience is a plus.

  • Excellent communication and problem-solving skills.

  • A minimum of two years experience using QuickBooks On-Line.

  • Bookkeeping experience is mandatory.

  • Literate in all phases of computer usage and various software.

 

Your duties will include:

  • Process accounts payable (entering all bills to Bill.com) and prepare and post all invoices for work performed.

  • Manage payroll, including set up of new employees, weekly time sheets, vacation tracking, and government remittance with guidance from the CPA.

  • Update and distribute company policies and handbook for new employees.

  • Process credit card payments and be able to write a live check if needed.

  • Office administrative support: obtaining company parking permits for the trucks, vehicle registration, license plates, and acquiring new cell phones.

  • Update and maintain QuickBooks daily for all company transactions.

  • Prepare reports for projects.

  • Prepare tax reports for CPA.

  • Maintain accurate records of assets and depreciation schedules.

  • Mail check stubs to employees.

  • Prepare live checks.

  • Track sales tax by city/county by P.O.#

  • Keep track of union hours and make union payments monthly.

  • Keep daily cash balance and make report
