POSITION OVERVIEW

Aleto Inc. is seeking to hire an Associate Project Manager To provide support for space planning, design, construction, closeout, and related analytical services over the client's entire leased or owned asset lifecycle. The Associate Project Manager will assist the project team in the organization and installation of furniture projects of varying sizes and complexity. The Associate Project Manager must be highly organized, hands-on, and customer service oriented. Additionally, we are looking for an Associate Project Manager who is comfortable working with general contractors, in the field or at the office. 

ESSENTIAL JOB DUTIES
  • Customer Service. Capable of acting as the main point of contact for the customer and other applicable parties during the project process on an as-needed basis. Maintain a professional and positive demeanor with clients and other partners across all situations.
  • Project Definition and Planning. Assist in establishing clear and reasonable project expectations and deliverables for our clients and other project parties. Assist in developing plans, schedules, logistics, and deliveries that align with the project parameters and client goals.
  • Project Implementation and Coordination. Foster quality interactions and coordination of work with all third parties (A&D firms, facility or building managers, contractors, movers, etc.) and the project team. Provide updates and communication throughout the project ensuring all critical information or dates are known by all project parties. Assist in the alignment of furniture installation with the contractor’s schedule.
  • Installation Planning and Execution. Assist in the review of plans, drawings, and specifications for accuracy and application. Schedule and facilitate the product delivery and installation, verifying installation progress and completion. Identify, manage, and review the project punch list with the Project Manager. Serve as an escalation point to resolve and mitigate issues as required.
  • Project Administration and Closeout. Assist in maintaining and tracking any project revisions or modifications and ensure applicable parties are made aware. Assist in managing any changes in scope costs in real time and provide timely and accurate information regarding any changes.  
  • Assist in the completion of project closeouts and documentation.
  • Assists in developing project briefings and presentations for senior-level management when required.
  • Assists in maintaining and organizing project files, invoices, estimates, and vendor information.
  • Captures action items for project management teams, captures meeting minutes, and disseminates them to appropriate stakeholders.
  • Perform field verifications on the delivery and installation of furniture.  Some nationwide travel will be required.
  • Coordinate installation schedule with the end user, furniture installers, and various other trades with minimal assistance required.  
  • Supervise sub-contractor installation crews with the ability to provide guidance when issues arise.  
  • Performs other job-related duties as assigned.

  • Compliance with all Aleto processes, standards, and guidelines including utilizing the employee and intranet platforms, clocking in and/or entering time daily, submitting expense reports, providing monthly progress reports, etc.
  • Participate in recurring performance development meetings with your Aleto Team Lead to discuss current job tasks, promote open dialog/feedback, recognize and celebrate wins, and review positive and purposeful approaches for meeting work-related and professional development goals.

QUALIFICATIONS

Qualifications/Education/Experience:

  • Must be able to obtain an active HSPD-12 public trust credential.
  • U.S. Citizenship
  • Associate degree or three years of applicable professional experience in the contract furniture industry
  • Proficient in Microsoft Office (Word, Excel, PowerPoint, and SharePoint), Microsoft Project, and PlanGrid.
  • Able to analyze and problem-solve, even with significant ambiguity.
  • Understands urgency and can execute tasks efficiently and calmly.
  • Proficient and effective communicator (written and verbal) across various audiences and situations.
  • Excellent interpersonal, organization, and time management skills
  • Strong team and customer service orientation

Technological Skills: 

  • MS Project, Primavera, or equivalent
  • ePM software such as Kahua or equivalent
  • Proficient in Microsoft Office
  • Proficient in Google Workspace
  • Ability to learn new planning, drawing, design, and specification software

Required Knowledge and Skills:

  • Excellent written and verbal communication skills 
  • Contract Furniture Experience. 
  • Ability to write clearly and informatively, editing work for spelling and grammar, varying writing style to meet needs.
  • Highly developed interpersonal and customer relationship management skills 
  • Professional demeanor, strong work ethic, discrete, resourceful, and able to maintain confidentiality.
  • Ability to communicate with a variety of people, both internal and external

SALARY RANGE: $60,000-$95,000 DOE 

ENVIRONMENT AND PHYSICAL CONDITIONS

The environmental factors and/or physical requirements of this position include the following: While performing the duties of this job, the employee is required to have ambulatory skills sufficient to visit other locations; and the ability to remain in a stationary position at least 50% of the time, move inside and around an office, position self to access items located in high or low areas, and transport items weighing up to 20 pounds across the office. Requires the constant operation of a computer and other office productivity machinery and the ability to observe details at a close range typically within a few feet of the observer.  The employee interacts frequently with other workers, vendors, and clients and will communicate information and ideas so others will understand and must be able to exchange accurate information in these situations. The position consistently requires work to be completed in an office environment with artificial light and air.
