MT requires all team members and classroom volunteers to have completed a COVID-19 primary series and received one booster dose. Team members who are not yet eligible for a booster must submit proof of their booster vaccination within 2 months of receiving their final primary series dose or an original monovalent booster vaccine to hr@marthastable.org.

Martha's Table will consider waiving the vaccination requirement for:

  • Team members who object in good faith and in writing, pursuant to procedures established by the City Administrator or his or her designee, that the employee's vaccination would violate their sincerely held religious beliefs; and
  • Team members who have obtained and submitted written certification from a physician or other licensed health professional who may order an immunization, that being vaccinated for COVID-19 is medically inadvisable because of the employee's medical condition.

Team members who believe they qualify for either exemption must submit a request for a waiver along with appropriate documentation to support their request to hr@marthstable.org.

POSITION OVERVIEW

This position reports directly to the Operations Manager. The Administrative Receptionist plays an important part within the organization. They are responsible for managing and organizing all of Martha's Table's (MT) front desk activities including; operating a multi-line phone system, greeting visitors, handling walk-in requests and coordinating the sign-in system for the lobby market. The Administrative Receptionist must be able to establish interpersonal relationships and communicate well as the first person with whom all staff and visitors interact with. The Administrative Receptionist must also be able to handle difficult situations and have a proven ability to de-escalate situations that may arise. The Administrative Receptionist will work closely with security personnel to uphold our safety standards at all times.

POSITION DUTIES & RESPONSIBILITIES
  • Operate the telephone switchboard by answering and directing calls to the appropriate staff.
  • Establish and maintain professional relationships with staff, business partners, volunteers, donors, and clients.
  • Greet and attend to visitors by exemplifying MT's core values (compassion, respect, accountability, teamwork).
  • Ensure all voicemail messages to the main office number are taken and directed to staff members on a daily basis.
  • Maintain safety by following procedures, monitoring a visitor logbook, monitoring security cameras, buzzing in visitors, and issuing visitor badges.
  • Partner with security personnel to maintain an atmosphere of safety and a welcoming environment that is high dignity and a positive experience for all. This requires monitoring cameras, being in constant communication with safety personnel, identifying and reporting issues, and proactively getting to know our neighbors and community.
  • Monitor and allow entry of visitors into the main building using a secure door entry system.
  • Monitor and ensure that the reception area is kept tidy and projects a business-like image at all times.
  • Type, print, scan, or copy documents as directed by the Operations Manager or other Management & Admin staff.
  • Work with the facilities team on the supply inventory for the Management and Administration team.
  • Process mail and distribute it into department mailboxes.
  • Accept and handle courier service deliveries, ensuring daily receipt by staff.
  • Create and distribute traditional and email correspondence to staff.
  • Assist with the coordination of special events, as needed.
  • If needed, open the main building doors and turn on lights in the morning or turn off lights and close the building in the evening.
  • Detect and report any theft, vandalism, safety, and health hazards to the Operations Manager in a timely manner.
  • Answer questions from volunteers, and a community for the lobby market when/if they come up
  • Accept donations in person and/or via phone and direct them to the appropriate team member/Martha's Table website.
  • Sharing info on MT programs (in person and via phone) throughout the year.
  • Attend at least 2 anchor events annually.
  • Performs other duties as assigned.

EXPERIENCE, KNOWLEDGE, AND SKILL REQUIREMENTS
  • At least one year experience working in an office environment.
  • Experience with switchboard operations.
  • Experience with MS Office suite, Google Workspace, Adobe Acrobat; and creating databases, spreadsheets, presentations.
  • Experience with the use of office equipment, i.e. fax, scanner, photocopiers, etc.
  • Ability to provide excellent customer service.
  • Excellent written and verbal communication skills with a good telephone manner.
  • Highly organized and have the ability to work with deadlines and multitask.
  • Ability to work under in a fast-paced environment and a quick learner.
  • Must have a positive attitude with a passion and commitment for social justice.
  • Non-profit experience desired.
  • Bilingual in English/Spanish, preferred but not required


EDUCATION AND TRAINING REQUIREMENTS
  • High School Diploma/GED required. Associate degree preferred but not required.

  • While performing the duties of this job, the employee is frequently required to stand, walk, sit, use hands to finger, handle, or feel objects, tools or controls; reach with hands and arms; climb stairs; balance; stoop; kneel; talk or hear; taste or smell. The employee must occasionally lift and/or move up to 25 pounds.
