Frost Brown Todd LLP, a national law firm with 1000+ legal and business professionals in sixteen offices, is currently searching for a full-time Human Resources Assistant to join our firm. The Human Resources Assistant will provide support of day-to-day human resources operations to the HR/Benefits Department, including background checks for new hires, employee onboarding, records management, personnel data entry and reporting, special projects, and administrative duties.

Job responsibilities include:

  • Processing background checks for all incoming attorney new hires and providing backup coverage for business professional new hires when needed.
  • Preparing new hire orientation schedules for all new hire business professionals using a shared new hire orientation calendar. Sending calendar invites, establishing Microsoft Teams connections, and securing conference rooms. Working with managers and practice group leaders to identify mentors and meeting participants for individual orientation sessions. Collaborating with the legal talent department administrators and coordinators to maintain cohesive and effective programming regardless of the new employee’s position.
  • Supporting the onboarding function by performing duties that include, but are not limited to, preparing new hire manual for all new business professionals, preparing benefits materials for all new business professionals and attorneys, and sending to appropriate office manager.
  • Taking ownership of ensuring the new hire manual and/or online new hire orientation materials are accurate and of high quality.
  • Preparing quarterly PTO reports to monitor for any patterns of inappropriate use of PTO, UPTO, makeup time and/or non-paid time.
  • Auditing reports including quarterly Aderant/ADP comparison audit, quarterly exempt PTO timesheet review and other audit reports to monitor data for accuracy and compliance.
  • Updating employee HR data in the ADP Workforce Now system as needed post hire, such as additional academic degrees, licenses, and certifications obtained, world language proficiency, and other similar post hire achievements.
  • Working closely with the HRIS Analyst to clean up, purge and enhance personnel data to improve data analytics matrix information.
  • Maintaining business professional personnel files in electronic format by uploading documents into the ADP Workforce Now system in a timely manner using the appropriate naming conventions.
  • Assisting with the coordination of internal HR sponsored training sessions for business professionals, including program announcements, RSVPs, room reservations, ordering food/refreshments, arranging room set-up and necessary technology.
  • Answering human resources inquiries related to policies and procedures; referring complex matters to appropriate HR team members.
  • Creating and maintaining a master list of recurring annual projects along with due dates and timeframes based on historical information. Updating annually and keeping the HR team advised well in advance of upcoming project targets.
  • Assisting with the annual performance evaluation process as directed by the HR team.
  • Working on special projects, which may include conducting research, analyzing data, and preparing reports as needed to support human resources initiatives.
  • Learning and maintaining compliance with federal, state, and local employment and benefits laws and regulations.
  • Assisting the recruiting team and benefits team on an ad hoc, project based or backup basis as needed including wellness initiatives and events.

Job Requirements:

  • College degree preferred or equivalent combination of education and experience.
  • 1+ years of related experience and/or training in Human Resources or a related field.
  • Possess a high-level of confidentiality, integrity, and professionalism with the ability to handle confidential and sensitive information with the appropriate discretion.
  • Strong attention to detail, accuracy, and thoroughness.
  • Advanced experience in using Excel, including performing functions such as formulas, pivot tables, and v-lookups. In addition, strong skills in Power Point, Office 360 products (Teams, Planner, etc.), and an ability to learn new data management systems. Must have strong working knowledge of Outlook Calendar and meeting scheduling.
  • Action oriented to seek out work as needed to maintain high productivity.
  • Ability to prioritize numerous tasks and complete them under time constraints.
  • Have a strong desire to learn new skills.
  • Ability to demonstrate good organizational skills including record keeping, data collection, and filing.
  • Interpersonal skills to communicate professionally and effectively by e-mail, telephone, and in person.
  • Strong business writing skills are preferred.
  • Ability to proofread typed material for grammatical, typographical, and spelling errors.
