Facilities Events and Residential Buildings Supervisor

Job Summary:
Reporting to the Director of Facility Custodial Services who provides general direction and coordination of work, the Supervisor, Facilities Services is responsible for the supervision, and coordination of event preparation and breakdown for Event support staff. Direct Supervision of Event, Grounds, Residential Buildings including Superintendents.

Job Description:

DUTIES & RESPONSIBILITIES:

Special Events:
  • Act as event liaison between the client and vendors, donors, etc
  • Manage events and address potential problems that may arise
  • Plan, organize, coordinate, and direct special events
  • Responsible for third party management of delivery vehicles.
  • Maintain records on event activities, progress, status, and post event summary
  • Monitor activities and ensure details are handled as planned
  • Work with and provide guidance to staff involved in event planning and execution
  • Monitor delivery of goods and services to ensure contract terms are satisfied
  • Determine staffing needs for special events. Authorize or secure additional staff as required
  • Basic knowledge of Event Management System and/or other Event Management Tracking System, building maintenance, payroll and repairs and supervision of unionized staff.


Academic & Residential Buildings:

Direct and supervise Residential Building Superintends to ensure development and maintenance of acceptable daily and cyclical standards of cleanliness in assigned buildings, for the general safety, health and comfort of the Students and Staff. Evaluate existing cleaning program, including work schedules and assigned areas for cleaning and maintenance. Establish measurable standards for quality control. Take lead on program development for new software initiatives.

Grounds & Landscape:

Manage and administer the Grounds/Landscape Maintenance program. Plan, coordinate, and supervise staff in all phases of the grounds/landscape operation and maintenance. Manage Grounds Maintenance, including turf management, horticulture pest control, all phases of tree maintenance, routine maintenance of open lawns and shrubs, application of fertilizers and herbicides, operation of manual semi-automated irrigation systems, maintenance of snow & heavy equipment and tools. Responsible for management and administration of the emergency snow plan for the maintenance of sidewalks, walkways, paths, yards and entrance areas and ensuring site and perimeter of all college buildings are clear of snow and ice.
  • Liaise with Res life and other institutional partners regarding residents
  • Basic knowledge of Work Order and/or Work Tracking Systems.
  • Evaluate the performance of employees against established standards and counsel them on performance; take or recommend corrective or disciplinary action when necessary.
  • Assure that the rules and regulations of the College, policies and procedures of the Physical Plant, and all safety regulations are known and observed by staff.
  • Work in close association with the various Departments of the College to identify and facilitate service delivery to those Departments.
  • Perform related duties as assigned.


Skills, Qualifications & Requirements:

KNOWLEDGE, SKILLS & ABILITIES:
  • Demonstrated ability to establish and maintain effective working relationships with diverse constituencies.
  • Ability to effectively and clearly communicate orally, electronically and in writing.
  • Ability to maintain records; write reports as required.
  • Ability to coordinate the work activity of assigned staff
  • Ability to remain calm and stay focused while carrying out the functions of the position during stressful conditions (Commencement, Alumni Weekend, Move-Out, Move-In etc.).
  • Excellent problem-solving skills and sound judgment; ability to understand and apply the College's and Department's policies and procedures.
  • Interact directly with other Facilities Services staff and community members including Groundskeepers, Mechanics and Community Safety Officers, students, staff and faculty members.
  • Ability to maintain a professional working relationship with others that is supportive of the Facilities Services mission.
  • Problem-solving skills sound judgment and ability to understand and apply the College's and Department's policies and procedures.
  • Ability to maintain confidentiality.
  • Ability to work effectively in a service-oriented environment subject to frequently changing priorities which may require re-prioritization of daily operations.


REQUIRED QUALIFICATIONS:
  • Minimum of three years' experience supervising a large (20+) custodial staff.
  • Proficiency with computer technology, including but not limited to Microsoft Office, and proprietary work order systems.
  • Must be willing and able to work occasional evenings and weekends as required.
  • May be required to work extended hours or be called in to work during inclement weather or for vacation/sick coverage.


PREFERRED QUALIFICATIONS:
  • Experience within an educational or similar institution.
  • Experience managing union-represented staff strongly preferred.
  • versed in the proper operation and maintenance of absorption air conditioning, chiller units and their auxiliaries and working knowledge of oil-fired low-pressure boilers and their auxiliaries; fire safety systems and ability to obtain certificate of fitness as required.


PHYSICAL DEMANDS & WORKING CONDITIONS:
  • Ability to kneel, crawl, bend, stoop, push, pull, lift and carry objects up to 50 lbs.
  • Ability to climb up and down ladders.
  • Ability to climb up and travel down stairs.
  • Ability to operate floor stripper, buffer and polisher; carpet extractor; water vacuum; vacuum cleaner; cleaning solutions and chemicals.
  • Most work is performed inside; some work on campus or building exterior may be required as well as traveling to various locations.


Salary Range: $64,000-$69,000
