Job Description

The New York Philharmonic connects with millions of music lovers each season through live concerts in New York and around the world, as well as broadcasts, recordings, and education programs. After returning to a transformed David Geffen Hall in October 2022, the Orchestra has a renewed commitment to building on a 180-year-old legacy of excellence by serving as a platform for today’s creators and connecting with our communities. In the 2023–24 season the NY Phil marks Jaap van Zweden’s farewell season as Music Director, and features 14 World, US, and New York Premieres, a celebration of the centennial of our famous Young People’s Concerts, and more. In February 2023 the New York Philharmonic announced the appointment of Gustavo Dudamel as the Orchestra’s next maestro, to begin as Music and Artistic Director in 2026–27, after serving as Music Director Designate in 2025–26.

The New York Philharmonic seeks an Operations Assistant to provide general office support for the organization, production support for the Operations Department, as well as administrative support to the Vice President of Production.

Responsibilities include:

  • Organizational Support
    1. Oversee all mail services for the organization
    2. Maintain office supplies, equipment & furniture
  • Production Department Support
    1. Coordinate and take notes for recurring weekly meetings
    2. Coordinate and communicate around annual tuning schedule and maintenance needs for all house pianos
    3. Oversee department documentation management and ensure accuracy of information.
    4. Participate in back-of-house concert duty rotation.
    5. Serve as production assistant for large-scale productions
    6. Coordinate production needs for ancillary events as assigned
  • Media Department Support
    1. Track media content use inquiries and status of requests.
    2. Procure publishing license clearances for digital media wall livestreams.
  • Vice President of Production Support
    1. Provide administrative support to the VP, including: manage calendar, email, and phone; filing, note taking, drafting of correspondences, documents, and presentation materials (such as: Powerpoint, Excel spreadsheets, etc.) as assigned.
    2. Other duties as assigned.

  • Miscellaneous duties as assigned.

Requirements:

Minimum of one year of relevant experience, desire to lean and contribute to the team by supporting others. Ability to work cooperatively with a wide range of internal and external constituents; excellent communication (written and verbal), project and time management and organizational skills. Detail oriented and proven ability to multi-task and prioritize; proactive and capable of working independently. Strong computer skills in Microsoft programs (i.e.: Powerpoint, Excel, Word, Outlook); familiarity with ArtsVision a plus. Ability to handle confidential information and maintain confidentiality. Knowledge of orchestral repertoire, available to work occasional nights and weekends, ability to lift and carry objects up to 50 lbs.
