Job Description

JOB TITLE: Account Associate

DEPARTMENT: Private Client Group

REPORTS TO: Team Lead

FLSA STATUS: Non-Exempt

JOB CATEGORY/HOURS: Full-Time/37.5 weekly

COMPENSATION RANGE: $24.00 - $37.00


POSITION SUMMARY: The Account Associate portion of this position will be available to the entire team in a floater capacity to help with backlog, heavy renewal periods, special projects, and cover teammates’ desks during time off. The Account Manager portion of this position will be assigned a small group of Tier 3 and/or Tier 4 clients to perform the more complex aspects associated with day-to-day servicing of existing clients in the private client group. This position is client interacting and may support Advisors, Account Executives, other Account Managers and Account Associates. Prompt, accurate and professional handling of requests, both internally and directly for the client will ensure clients receive the best possible experience.

KEY RESPONSIBILITIES:

  • Process the daily download and assign download suspense items.
  • Request policy changes from carriers via email request, or carrier website including updating the client’s application, documenting appropriately in Epic and following up until change is received. Processes carrier endorsements by verifying accuracy, invoicing, sending letters to clients and ensuring Epic data base was updated.
  • Retrieve electronic copy of endorsements, policies and other documents from carrier website and attach to the appropriate client in Epic.
  • Issue and distribute to clients, new and renewal proofs of insurance including evidences, certificates and auto ID cards.
  • Order MVRs, CLUE reports and/or loss history from vendor websites or insurance carriers via email request.
  • Verify accuracy of renewal reviews where appropriate.
  • Process direct bill notices of cancellation by contacting carrier, determining if payment has been made and notifying Account Manager of outcome.
  • Prepare annual renewal letter which includes renewal terms and year over year program comparison. Share that deductibles and limit options are available but encourage client remain with incumbent.
  • If marketing, assume complete responsibility for market selection, gathering and organizing appropriate information required to obtain options, working with rater to obtain quotations, sharing quotation options with clients, and issuing policies with carriers.
  • Build relationships and maintain proactive communication with company underwriters.
  • Work directly with client as a contact for all complex insurance questions and policy changes.
  • Review policies and endorsements for accuracy of coverage, policy content, and attached forms.
  • Assume first point of contact for all claims including offering advice on reporting claims. When needed, elevate problems and stalled claims to adjuster supervisor.
  • Attend and participate in department meetings as well as other meetings as directed.

EDUCATION:

  • A four-year college degree preferred
  • Possession and maintenance of Property and Casualty Insurance license for the State of Colorado, or willingness to obtain
  • Proactive participation in continuing education classes

WORK EXPERIENCE:

  • 3-5 years of industry experience in a similar position beneficial, experience not required

FUNCTIONAL/TECHNICAL KNOWLEDGE & SKILLS:

  • Strong written, presentation, interpersonal, organizational, time management and oral communication skills
  • Strong sense of urgency, attention to detail and follow-thru, results-oriented nature, ability to multi-task, ability to work at a fast pace, and ability to prioritize frequently throughout the day.
  • Proficient in the use of Microsoft Word, Excel, Outlook and Power Point.
  • Ability to make decisions that are limited to a few options with minimal room for discretion.
  • Ability to solve problems that are relatively simple in nature, requiring some analysis or research to determine the best solution from a limited number of prescribed options.
  • Proficient in technology and the use of data management software, including ability to organize and sort through data presented in various forms. Accurate entry of data and supporting documentation into the software a must.
  • Basic understanding of debits and credits.
  • Willingness to take on additional responsibility as the need arises.

SUPERVISORY RESPONSIBILITY:

  • This position has no supervisory responsibility.

  • This position operates in a professional office environment. This role routinely uses standard office equipment such as computers, tablets, phones, multi-function printers and fax machines.
