Fiscal Coordinator (Psychology)

The mission of the university and the School of Arts and Sciences is to foster teaching, research, and public service as an integral part of education linked through programs designed to preserve, transmit, and expand knowledge.

Position Summary

William & Mary’s Department of Psychology invites qualified applicants for the position of Fiscal Coordinator whose efforts will support the department and its graduate program. Under the supervision of the Department Chair, this position manages all fiscal/budget and administrative support needs of the department to include leadership and faculty support for 20+ full‐time, affiliated, or visiting faculty members. Primary responsibilities include:

  • Fiscal support for the Department Chair, Associate Chair, Graduate Director, faculty, and office to include processing of reimbursements, journal vouchers, fund transfers/deposits, status reports and financial statements.
  • Managing the department’s indexes by verifying accounting entries, balancing monthly expenditures against the budget, maintaining budget tracking spreadsheets, and assisting in budget planning by providing financial analysis of resources to the department chair.
  • Working with Private Fund Accounting to ensure compliance with individual private fund gift restrictions.
  • Identifying administrative goals and priorities, with an emphasis on strategic budgetary management. Liaising with multiple units on campus to facilitate processing of transactions and procurement of equipment and services.
  • Conducting grant accounting and providing pre- and post-award assistance in budget and cost projections; coordinate with the Office of Sponsored Programs to ensure that grant funds are expended appropriately, in compliance with federal and state guidelines.
  • Authorizing expenditures and identifying cost effective alternatives.
  • Interpreting new directives, policies, and procedures and communicates changes to appropriate staff.

Conditions of Employment

This position will serve as the primary contact for students, faculty and staff. As such, in-person presence is critically important for efficient business operations, and is the nature of the job, as “point person” for the unit.

Occasional evening and weekend work required, i.e., during open house, homecoming, lectures, graduation, special events, etc.

This is a non-exempt position, eligible to receive overtime in accordance with the Fair Labor Standards Act. This position may be subject to overtime during high peak times, etc., as directed and approved by the supervisor.

Required Qualifications

EDUCATION:
High school diploma OR an equivalent combination of education, training and experience

KNOWLEDGE, SKILLS AND ABILITIES:

  • Working knowledge of general office practices and procedures, including customer-service techniques and etiquette
  • Working knowledge of procurement and purchasing policies, procedures and practices
  • Working knowledge of fiscal administration and general accounting practices and procedures as well as tracking and projecting expenditures
  • Demonstrated ability to effectively work with productivity systems and applications in the areas of funds management, procurement, and fiscal reporting
  • Demonstrated proficiency in computer skills to include Internet browsers and Microsoft Office: Word, Excel, PowerPoint, and Outlook
  • Demonstrated ability to interpret and apply organizational policies, procedures in accordance with state and federal guidelines
  • Demonstrated ability to provide a high-level of customer service utilizing exceptional interpersonal and communication skills, and with the ability to interact professionally with faculty, staff and other internal and external customers in order to provide guidance, information, and resolve personnel and fiscal inquiries and problems

Preferred Qualifications

EDUCATION:
Bachelor’s Degree from an accredited institution, OR an equivalent combination of training, education and/or experience

EXPERIENCE:

  • Experience working in a higher education environment
  • Experience with procurement and purchasing policies and procedures
  • Prior fiscal administration experience
  • Experience with grant administration
  • Experience with Banner, Qlik, and buyW&M systems

Hybrid (works remotely at least 1 day per week but not full-time)
